Cambridge Investments LLC is Hiring an Executive Assistant Near Palm Beach, FL

About us

This role will serve as an assistant to the CEO/CFO at an Investment Fund in both personal and professional matters. Duties will include calendar management, task and deadline monitoring, travel planning, constant follow-ups (both internally with team members and externally with clients and vendors), daily reminders, detailed reporting, and developing efficient and effective communication channels. This role will serve as an all-around assistant to the CEO/CFO in both personal and professional matters. Duties will include office organization and record management, calendar management, task and deadline monitoring, travel planning, constant follow-ups (both internally with team members and externally with clients), daily reminders, detailed reporting, and developing efficient and effective communication channels. Personally, this role will assist with needs that relate to multiple homes home and personal matters.

Eligible candidates must be able to pivot easily with changing priorities, possess exceptional organizational, written and verbal skills, must be able to work in a fast-paced atmosphere with little oversight or management, have a mentality of being able to accomplish any task given, and must have thick skin to handle high pressure environments.

This position is a full-time position with a competitive salary. While you will be asked to be in the office normal business hours, this job does require someone that understands that running a business will sometimes require answering the phone before and after work hours as necessary to complete their jobs.

Responsibilities include, but are not limited to:

-Assisting with opening and managing the new office space in Palm Beach, FL.

-Working collaboratively alongside the Firms Jackson, WY based employees

-Filing, retrieving and maintaining corporate records, documents, and reports.

-Keeping the CEO on track and organized on a daily basis; maintaining and monitoring task/call lists.

-Heavy calendar and logistics management, including scheduling for a complex schedule of business and personal matters.

-Creating detailed and organized travel itineraries; booking flights, ground transportation arrangements, etc.

-Interacting with clients and facilitating client meetings.

-Ability to occasionally travel to other offices as required.

-Financial management, both personal and business.

-Updating and maintaining records of important contacts.

-Helping prepare for meetings.

-Accurately recording minutes from meetings.

-Follow up timely and in an organized fashion.

-Using various software, including word processing, spreadsheets, databases, and presentation software.

-Performing office duties that include ordering supplies and managing a records database.

-Assisting with pet care

-Personal shopping, executing special requests, running errands, and related duties as needed

-Must be extremely tech-savvy – working with home security systems, Microsoft and iOS platforms.

Requirements:

-Proven experience as a personal assistant or other relevant administrative support experience.

-In-depth understanding of entire MS Office suite and Quickbooks.

-Outstanding organizational and time management skills

-Basic Bookkeeping in recording, tracking financial transactions as well as creating financial reports.

-Ability to organize an extreme daily workload by priorities.

-Must be able to meet deadlines in a fast-paced, quickly-changing environment.

-A proactive approach to problem-solving with strong decision-making skills.

-Ability to communicate quickly and efficiently via text, Teams chat, email, and phone call.

-Professional level verbal and written communications skills.

-Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)

-Discretion and confidentiality
