Cabrini Green Legal Aid is Hiring a Director of Finance Near Chicago, IL

Position Overview

Reporting to the Executive Director, the Director of Finance will be responsible for providing leadership and direction on the Executive team and working with the board to effectively design and implement a strategic business model. This role will be providing day-to-day financial management and oversight for the organization. The position will play a critical role in partnering with the Executive leadership team in strategic decision-making as Cabrini Green Legal Aid continues to enhance its Theory of Change and long-range planning for the organization. This role will also be responsible for providing leadership in creating and monitoring the organization’s budget as well as its compensation system and merit budgets.

Essential Duties

Strategy & Vision

  • Advise the Executive Director and other senior leaders on financial planning, budgeting, cash flow, investment priorities, and policy matters.
  • Works closely with Board and Executive Director and other senior members to develop a strategy for driving the future success of the organization.
  • Serve as the management liaison to the board and finance committee; effectively communicate and present critical financial matters at board of director and committee meetings.
  • Identify and implement innovative processes for improving business processes to support administrative functions.
  • Ensure legal and regulatory compliance and appropriate risk mitigation through the timely review and approval of all of the organization’s business relationships including but not limited to business insurances, contracts and grant agreements.

Financial Management

  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project/program and grants accounting.
  • Create and manage annual budget process.
  • Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary.
  • Oversee and lead annual budgeting and planning process in conjunction with the ED.
  • Administer and review all financial plans and budgets; monitor progress and changes; and keep executive leadership team abreast of the organization’s financial status.
  • Manage organizational cash flow and forecasting.
  • Manage cash receipts posting which include customer checks, electronic payments and credit card transactions.
  • Prepare and post cost allocations and accruals for semi-monthly ADP payroll processing.
  • Maintain schedules and prepare journal entries for pre-paid expenses, depreciation, and other recurring items. Train and assist staff with accounting and systems issues.
  • Allocate and reconcile personnel expenses based on employee time worked per contract in compliance with CGLA policy and relevant government and funder regulations for wages and payroll taxes, 401(k) employer match, employee insurance and other fringe benefits.
  • Serve as financial lead regarding all non-profit accounting and grant related inquiries.
  • Key point person for all finance related items includes but not limited to supervision of all accounting functions, GAAP implementation, overseeing AP and AR functions, review of monthly financials produced by the accounting dept, reconciliations of assets and sales.
  • Implement a robust contract management and financial management/ reporting system; ensure adherence with the contract billing and collection schedule and that financial data and cash flow are steady and support operational requirements.
  • Update and implement all necessary business policies, internal controls and accounting practices.
  • Maintain and regularly update the finance department’s overall policy and procedure manual.
  • Oversee the management of the accounts receivable billing and tracking.
  • Oversee Accounts Payable processes in bill.com and Expensify.
  • Oversee Payroll processing through ADP.
  • Manage organization’s financial reserves.
  • Oversee financial planning, financial policy development, accounting, financial reporting and compliance, and institutional stakeholder relations.
  • Responsible for overseeing all contracts and completing all grant related financial reporting and ensures compliance with funders’ reporting requirements.
  • Work collaboratively with Accounting Consultants to enhance the accuracy, completeness, and functionality of the accounting recordkeeping systems.

Personnel Management

  • Serves as a member of the Executive Team in providing leadership in developing agency-wide financial training by introducing best practices and counsel on healthy fiscal business practices.
  • Ensure that all staff receive timely and appropriate training on relevant finance and operational processes.
  • Provide leadership, coaching, and accountability for all direct reports.
  • Ensure that timely, consistent, and detailed performance feedback is provided to each direct report. Responsible for ensuring direct reports are performing at a satisfactory level.
  • Establish and monitor staff performance and development goals, conduct quarterly and annual performance appraisals.
  • Effectively lead operations staff and builds positive departmental culture.
  • Provide resources and support to address staff needs, identifies and secures professional development opportunities for staff, provides coaching and supervision, and manages and resolves conflict.
  • Address performance issues with staff and interns using appropriate disciplinary methods such as verbal warnings, write-ups, and performance improvement plans.
  • Promote a culture of high performance and continuous improvement that values learning and a commitment to quality.
  • Serves as the staff liaison to the Board Finance Committee; Provide oral and written finance reports to the committee.

Other Responsibilities

  • Performs other miscellaneous duties as assigned.

Education

  • A minimum of a Bachelor’s degree in Accounting. Graduate degree in business or accounting, MBA/CPA or related degree preferred.

Experience

  • MBA in Finance or Certified Public Accountant.
  • Have 5 - 7 years of experience working in a not for profit sector; ideally six-plus years of broad financial and operations management experience.
  • Proven track record in grants management.
  • Experience with creating and managing cost allocation plans.
  • Demonstrated experience and proficiency in financial management and accounting utilizing QuickBooks Accounting Software, ideally in the nonprofit sector.
  • Experience with nonprofit accounting, including sophisticated fund and grant accounting, compliance, and reporting.
  • Experience in audit management, compliance, budget, and resource development;
  • Experience with Circular A133 audit.

Required Skills

  • Excellent oral and written communication; relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.
  • Ability to translate financial concepts to – and to effectively collaborate with -- programmatic and fundraising colleagues who do not necessarily have finance backgrounds, at the board and staff level.
  • A successful track record in setting priorities; keen analytic, organization and problem solving skills which support and enable sound decision-making.
  • Strong organizational and leadership skills.
  • Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team environment.
  • Strong computer skills including proficiency in QuickBooks, Microsoft Word, Excel & PowerPoint;
  • A multitasker with the ability to wear many hats in a fast-paced environment and manage multiple projects and deadlines while producing quality results.
  • Superior management skills; ability to influence and engage direct and indirect reports.
  • A strategic and analytical leader who enjoys working in a fast paced environment.
  • Possesses exemplary attention to detail.

Supervisory Responsibility

Supervises 1 Bookkeeper

Required Hours

Monday through Friday 9:00am to 5:00pm, 40 hours per week. NOTE: Occasional weekends and evenings work will be required.

CGLA has a telecommuter and flexible work policy that allows employees to perform work remotely at the employee’s home or at CGLA offices. Employees must have adequate internet access to work from home. If working in the office, you must be able to work in an open office setting with moderate noise levels and follow all COVID-19 safety protocols.
