Our Opportunity:

C4 Therapeutics is seeking a highly experienced and collaborative Senior Executive Assistantto provide day-to-day administrative support for the Chief Executive Officer (CEO), Chief People Officer (CPO), and Senior Vice President of Communications & Investor Relations. The Senior Executive Assistant also serves as a liaison to the board of directors and senior management teams. The Senior Executive Assistant will also be the point person for establishing and adhering to company-wide administrative processes and delegation. Most importantly, the Senior Executive Assistant works in collaboration with key point-of-contacts internally and externally to ensure productivity and efficiency by applying superior problem-solving and customer service skills.

The Role:

  • Partner with the CEO, CPO, and SVP of Communications & Investor Relations and their teams on projects, programs, and initiatives to ensure timely execution and adherence to company policies and confidentiality
  • Completes a broad range of administrative tasks for executives including maintaining executives’ calendars: send meeting invites, ensure adequate prep time before meetings, and work through scheduling roadblocks using independent judgment and discretion wherever possible; when independent judgment is not possible, quickly escalate questions to the CEO, CPO or SVP, Communications & Investor Relations as appropriate
  • Organize events for the executives, including but not limited to:
    • Biweekly Senior Leadership meeting: working with the CEO on setting and driving meeting agenda, note taking, and tracking action items
    • Quarterly Board of Directors meetings or conferences: collaborate with internal and external planning partners, reserve locations, send meeting invitations, manage attendee lists, plan catering, coordinate audio/visual needs, and assist with preparing and distributing materials
  • Assist with departmental functions such as attending key leadership meetings and managing projects that may interface with other business functions
  • Provide general administrative support, such as drafting documents, letters, and presentations, proofreading and running comparisons/redlines/track changes, filing/scanning, collecting signatures, record keeping, reconciliating credit card statement; and attend meetings as a minute taker, track action items and post-meeting follow up accordingly 
  • Arrange business travel and accommodations, including scheduling complicated international travel and processing travel expenses 
  • Provide guidance and build streamline processes with the other executive assistants to maintain a high-level of the support function throughout the organization
  • Provide general office support, which may include assisting with coverage for and onboarding Administrative Team members
  • Work with the Office Manager and Administrative Team members on event planning and special projects as needed 

Your Background:

  • 8 years of experience supporting senior biotech/pharma executives as an Executive Assistant required 
  • Proven proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint) and remote collaboration tools (Zoom, WebEx, Microsoft Teams). Experience with Boardvantage software a plus
  • Exceptional time management and organizational skills, with the ability to appropriately balance multiple, competing priorities 
  • Ability to anticipate needs and act without requiring detailed direction in relation to routine responsibilities 
  • Excellent verbal and written communication skills 
  • Ability to maintain the highest level of confidentiality and to engender trust 
  • Reliability, integrity, grace-under-pressure, and a sense of humor are all valued attributes 
  • Undergraduate degree highly preferred 
  • Experience in a scientific setting a plus
