Overview

The Billing Specialist serves as an expert in billing processes and procedures, the execution of recurring projects, and maintenance of client data. Billing responsibilities include the generation of quarterly and interim bills, collection of fees, and processing of fee adjustments. Client service skills are required for regular communication with custodians and advisory teams.

Essential Duties and Responsibilities

• Become the knowledge expert in all billing related functions, including the technology system, and business processes for all billing related activities
• Serve as primary contact for billing related inquiries
• Research billing related questions or issues and provide guidance and solutions
• Work directly with internal business departments, advisors, custodian business partners, broker dealers and outside vendors to research and resolve billing inquiries
• Communicate any complex billing issues or solutions directly with advisors, broker-dealers, or external partners
• Facilitate all billing requests and provide exceptional client service internally and externally
• Proactively communicate with internal teams on status of fee payments and other pertinent billing information
• Develop and communicate process and procedures for billing related activities to internal teams and external partners
• Manage monthly and quarterly billing cycles including, but not limited to, timelines and communication to all necessary teams
• Ensure all billing-related processes and internal controls are documented and updated
• Verify fee schedules are applied in accordance with our compliance practices
• Identify and help to implement business process improvements
• Receive and process client billing instructions from CRM and/or the team inbox
• Set up bill relationships, revenue relationships, and fee structures
• Prepare quarterly and monthly invoices for advisors at Buckingham
• Process corrections, refunds, adjustments per request
• Process fee collection from custodian accounts and client credit cards
• Assist with financial audits and other projects as needed
• Full understanding and mastery of billing process and cycles
• Conduct billing training calls for existing and new Buckingham offices
• Gather and organize data for distribution to advisory teams

Required Qualifications

Education

• Bachelor’s degree in accounting/Business or equivalent work experience

Experience

• 2 years accounting or billing experience is a plus
• Data gathering and analysis experience or experience working with Salesforce or Orion a plus
