Overview

General Statement of Duties: Provide the Whitman Counseling Center (WCC) and the Clinic Director with comprehensive office support and coordinate services for CBHI- eligible youth and their families. Supervise non-exempt staff and interns. Collaborate with the WCC Billing Manager and BAMSI Business office in the management and review of co-payments, billing, and petty cash.

Responsibilities

  • Oversee daily office operations at WCC including: customer assistance to visitors and clients, scheduling appointments and directing program correspondence, maintaining the WCC employee database, managing Intrado Reminder Call System alerts, placing orders for supplies, coordination with facilities regarding building maintenance, monitoring filing systems in compliance with agency requirements and providing guidance and support to clinic personnel and prescribing professionals.
  • Assist the Program Director/Evaluator in maintaining the intake, waitlist and other established clinic tracking logs.
  • Provide ongoing supervision of Office Assistants and Interns.
  • Respond to and resolve client requests and complaints in timely and respectful manner.
  •  Utilize the ARPlus billing system and scheduler as assigned.
  •  Ensure the clinic staff completes required training, according to agency requirements.
  • Maintain client, employee, and other program information according to HIPAA and agency guidelines.
  • Ensure strict adherence to Quality Management guidelines and ensure disaster and other drills are scheduled and implemented as required.
  • Update and maintain the clinic’s copy of the BAMSI Employee Manual and the WCC Procedures Manual. Provide staff with changes/ updated pages
  • Conduct/facilitate WCC Orientation with all new staff, ensuring they have keys, business cards, cellular telephones (if needed), and password to alarm system.
  • Conduct/facilitate WCC exit meetings with staff to ensure items distributed since hire are returned.
  • Attend WCC supervisors’ meetings. Substitute for the Clinic Director or Program Director/Evaluator at other meetings, as requested.
  • Collaborate with Information Services (IS) department on technical needs of the clinic. Review all work orders for IS and provide technical assistance to staff, as needed.
  • Schedule and facilitate monthly Administrative Support Team meetings.
  • Work in collaboration with the WCC Clinic Director on consumer satisfaction surveys for the clinic, including mailings and service delivery calls.
  • Lead clinic staff in planning Special Events and activities to enhance retention and employee engagement.
  • Execute duties to reflect reasonable safety standards.
  • Perform other related work duties as needed or assigned by supervisor or designee.
  • Qualifications

    • Bachelor’s degree preferred
    • 3-5 years of experience working in a fast-paced office or health care setting required.
    • Supervisory experience in an office setting required.
    • Understanding and experience working with adults, children, and parents living with a mental health disorder or emotional challenge.
    • Demonstrated ability to manage multiple tasks under pressure.
    • Strong administrative and computer skills: proficient in Microsoft Word, Excel and Outlook.
    • Understanding and knowledge of mental health services
    • Valid driver’s license and own means of transportation.
