Responsibilities

The Office Manager will support the office with reception, administrative, and office managerial duties with a wide variety of inventory, maintenance, administrative, and clerical duties related to office upkeep and the construction project lifecycle.

Office Manager Responsibilities

  • Provide reception coverage including greeting and directing visitors and answering multi-line VoIP phone system
  • Maintain the condition of all common areas, conference rooms, and kitchen; may perform meeting and conference room/event set up
  • Process incoming and outgoing mail, packages and courier deliveries.
  • Inventory, order, and distribute office supplies and kitchen supplies
  • Ensure office equipment is functioning properly including maintaining paper by and in all copy and fax machines
  • Scheduling events and meetings; prepare appropriate space for event

Project Assistant Responsibilities

  • Set up and create projects and job books for the project team 
  • Request a new vendor set up; communicate the need for a Form W-9 to vendor and follow up on request
  • Follow up with subcontractors to ensure all contracts are executed and documents are on file for close-out process; Print and distribute subcontractor proposals on bid days
  • Transcribe construction documents (i.e. meeting minutes, project correspondence, contracts, change orders, purchase orders, etc.)
  • Prepare and issue subcontracts, purchase orders, and change orders
  • Order prints, construction plans and drawings
  • Create, modify, and maintain owner contracts using AIA Software
  • Notarize project documents
  • File and organize office records
  • Assist with special projects
  • Other duties and responsibilities as assigned

Qualifications

  • High school diploma or equivalent; Associate degree preferred
  • 2 years’ administrative experience working in a professional office setting, industry experience is preferred
  • Proficiency with Microsoft SharePoint; Microsoft Office including Word, Excel, and Outlook; Working knowledge of Vista by Viewpoint and AIA Contract Documents preferred
  • Strong communication skills – both written and verbal
  • Ability to interact with all levels of the organization in a professional manner
  • Strong customer service focus and commitment
  • Ability to multitask in a face paced environment
  • Must have acute attention to detail and be committed to high standards and excellence
  • Prior troubleshooting experience with office equipment
  • Certified Notary
  • Must be able to lift 50 pounds
