Summary
:

Under the direction of the Vice Chair of Research the OB/GYN Research Coordinator will enhance the administrative functions within the Research Divisions of the Department of Obstetrics and Gynecology. This candidate will work closely with the OB/GYN Director of Professional Operations and collaborate with the OB/GYN Research Finance Team.

The candidate will support the administrative and operational logistics of research Principal Investigators (PI) for their respective labs. Additionally, the OB/GYN Research Coordinator is responsible for the management of weekly department timecard approval, monitoring licensing and training compliance, defining, and implementing research strategy and growth plans, and special projects related to clinical research (e. g. IRB compliance, patient contact policy etc.) as assigned by the Vice Chair.

Duties:

Administrative Operations & HR Support

  • Act as HR liaison providing guidance to PI’s for their labs/teams. This includes facilitation of HR related tasks, such as recruitment, merit reviews, compliance etc., when required. Works closely with the Vice Chair of Research and PIs to ensure administrative needs are met. Escalates personnel / performance issues appropriately to the Director of Professional Operations as necessary for resolution.
  • Works closely with the Director of Professional Operations and PIs to orient research staff with Department HR policies and manage the recruitment of new staff. Works with the PI to write and update job descriptions as needed, coordinates with the Director of Professional Operations and research finance team in accordance with Department policy to secure approval of all positions. Working with PIs, facilitates recruitment including independent management of postings in Taleo (entry, approval, resume screening, interview coordination, etc.) to guide hiring of research staff following departmental and institutional policies and practices.
  • Working with appropriate Lab Managers and Principal Investigators, ensure new staff are onboarded and trained following specific lab policies and procedures. Ensure job training is completed within a timely manner for new hires. Responsible for providing staff with Department and institutional policies, procedures, trainings, and ongoing classes to expand/improve employee skills and knowledge. Ensures performance appraisals are completed on time.
  • Responsible for timecard approval functions utilizing Kronos Time Keeping System for all weekly paid staff across Research Divisions. Actively works with PIs to set and manage staff schedules, and monitors overtime as approved by PIs, understanding impact on research budgets. Independently facilitates corrections as necessary. Addresses issues and escalates to Director of Professional Operations and Vice Chair of Research as necessary. Occasional backup timekeeping for department administrative staff.
  • Meets with the Director of Professional Operations regularly to ensure all HR, Administrative and Operational duties related to research, are running smoothly.

Research Projects & Program Management

  • Under the direction of the Vice Chair manage the Summer Research Intern Program each year including program design, approval, recruitment, onboarding / offboarding, and intern management.
  • Special projects assigned by the Vice Chair of Research in support of research activities and optimize communication across research areas. Coordinates work, takes initiative using all available resources, follows through on issues when needed, applies knowledge as appropriate with little direction from Vice Chair. Sample projects could include research strategy and growth planning, database management, Expanding the Boundaries program, MSCR license maintenance and CITI training compliance.
  • Serves as the onsite lead for asset management across research areas, including space and equipment, coordinating with the research finance team as necessary. Support equipment discard processes, as necessary.
  • Liaison for IRB process/tools to support research faculty. As needed, facilitates meetings between PI and Vice Chair of Research and/or connects PIs with available institutional resources.
  • All related duties as assigned.

Qualifications:

  • Bachelor’s degree in biology, public health, research administration or related field required
  • Two years of experience in research, Research Coordination or/and in Research/Healthcare Administration environment is preferred
  • Project management experience desirable

  • Strong organizational and coordination skills. Ability to prioritize effectively. Ability to manage multiple tasks effectively.
  • Strong familiarity with Microsoft Office Suite required.
  • Advanced computer skills preferred.
