POSITION DESCRIPTIONPOSITION DESCRIPTION

TITLE: Executive Assistant

DEPARTMENT: Mission Support

REPORTS TO: Executive Director

FLSA STATUS: Non-Exempt

PRIMARY FUNCTION:
Provides complex administrative support services to the Executive Director and executive team. Serves as a liaison to others within and outside the company regarding business-critical matters. Provide administrative support to Resource Development fund-raising efforts as well as other executive management team.
KEY ROLES (Essential Job Responsibilities):

  • Provides ‘gateway’ function for senior executives, prioritizing meetings, and tasks to ensure the most efficient use of executive time, collaboration, and cohesiveness.
  • Assists Executive Director in ensuring smooth communication, planning, and administrative functions for internal colleagues, external donors, board members, BGCA, and community members, via written and verbal communication and providing support to attain these commitments, as needed.
  • Schedules and maintains a calendar of appointments, meetings, deadlines, travel itineraries, and coordinates related arrangements.
  • Provides a bridge for smooth communication between the Executive Director, executive team, and internal departments/staff.
  • Prioritizes conflicting needs; handling matters expeditiously and proactively; and follows-through on projects to successful completion, often with deadline pressures.
  • Shared responsibility for answering incoming phone calls.
  • Performs information management duties such as conducting research, updating and maintaining databases, and retention of confidential files of Board Members.
  • Support to the Board of Directors governance structure by managing board terms and leaves of absence, new member orientation, and administrative duties as required.
  • Support all board structures by communicating with Board Members, as needed, on upcoming meetings and special events, required paperwork, etc.
  • Takes, transcribes, and maintains Board of Directors and committee meeting meetings as assigned.
  • Prepare documents for meetings as well as ancillary needs for meetings.
  • Maintains operation rhythm document to ensure deadlines for business critical matters are met.
  • Provide support to Resource Development efforts as directed.
  • Carries out special projects and assignments as requested.
  • May be responsible for the coordination of special events and conferences.
  • May assist in the operations functions in any line of business.

RELATIONSHIPS:
Internal: Maintain oral and written contact with the Executive Director, Board of Directors, staff peers, and volunteers for the purpose of exchange of information, to provide progress reports regarding activities and planned programs, and to coordinate events.

External: Maintain oral and written contact with other agencies, business leaders, community groups, boards of directors of such organizations, and the media for the purpose of exchanging information and ideas and for the purpose of fundraising.
QUALIFICATIONS/SKILLS/KNOWLEDGE REQUIRED:

  • High school diploma or GED
  • 5 to 10 years of administrative experience. Executive support is highly recommended
  • Office management preferred
  • Ability to maintain strict confidentiality
  • Must be pro-active, self-starter, multi-task, and problem solve
  • Must be able to anticipate the needs of the business, including executive leadership, and respond appropriately
  • Proficient in Office 365 as well as database management
  • Excellent written and verbal communication skills
  • Works well with others
  • Good attendance record
  • Ability to establish and maintain effective working relationships with Club staff, Board members, volunteers, community groups, and other related agencies
  • Pre-employment drug screening, background, reference, and driver’s record checks are required.
