Boys & Girls Club of Hawaii is Hiring an Accounts Payable Specialist Near Honolulu, HI

About BGCH

PRIMARY FUNCTION:

The Accounts Payable Specialist is a critical member of our Accounting Teams generally responsible for processing vendor and other invoices, issuing payments, employee corporate credit card purchases / processing and reconciliations, and processing EFT/ACH expenses and payments. The Accounts Payable Specialist will perform accounting and administrative/clerical tasks related to the efficient maintenance and processing of accounts payable and credit card payment transactions. Other responsibilities include but are not limited to, account reconciliations, scanning and filing documents, answering telephones (as needed), maintaining office equipment, and handling petty cash.

This person must manage multiple projects effectively, meet required timelines, and have superb attention to detail. 

GENERAL ACCOUNTS RECIEVABLE & BILLING TASKS:

Accounts Payable

  1. Review and verify invoices and check requests.
  2. Sort, code and match invoices.
  3. Collate necessary documents with invoices to set up payment.
  4. Enter invoices into accounting system.
  5. Prepare and perform check runs.
  6. Record all non-cash payments, including ACH, EFT, credit card and automatic debits.
  7. Reconcile accounts payable transactions weekly.
  8. Prepare analysis of accounts.
  9. Monitor accounts to ensure payments are up to date.
  10. Research and resolve invoice discrepancies and issues.
  11. Maintain electronic and hard copy vendor and AP transaction files.
  12. Correspond with vendors and respond to inquiries.
  13. Communicate consistently with BGCH employees to ensure accuracy in transactions.
  14. Produce monthly reports.
  15. Assist with month end closing.
  16. Provide supporting documentation for audits.
  17. Review, understand, implement and comply with all related accounting policies.

End of the Month Closing

  1. Work with Accountant to ensure timely closing.
  2. Account reconciliations, as assigned

GENERAL ADMINISTRATIVE TASKS:

  1. Opens and distributes incoming mail, answers telephone, as needed.
  2. Maintains and orders office equipment and supplies.
  3. Assists with reports as required.
  4. Maintains petty cash log.

ADMINISTRATIVE and OTHER GENERAL OFFICE DUTIES

  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS Education

  • An Associate’s Degree from an accredited institution in Business.

Experience

  • Two years of paid experience in bookkeeping/accounting with an emphasis on accounts payable and receivable transactions.
  • Minimum 1-year experience with private and government grant billings.
  • A Bachelor’s degree from an accredited college or university in a related field.
  • Related work experience at a responsible level may substitute for education on a year for year basis.

Required Skills, Knowledge and Abilities

  • A passion for meeting timelines and completing work with accuracy and efficiency.
  • Operate a personal computer, using word processing, spreadsheet, and database management programs.
  • Experience with accounting software is required and experience with MIP is preferred.
  • Strong analytical skills, with attention to detail.
  • Strong customer relations.
  • Good communications skills, both verbal and written.
  • Ability to interact professionally with Club staff, Board members, volunteers and other related agencies.
  • Possess good grammar, punctuation, and filing skills.
  • Able to work with limited supervision, using good organizational skills, and with frequent interruptions.
  • Able to edit own work for accuracy and provide accurate information on a timely basis.

WORKING CONDITIONS: Administrative Office activities may take place indoors or outdoors, or off-site.

WORK HOURS: 

Administration Office days and hours. Also, if applicable, during organizational activities which may take place during the day or night or over a period of several days.

PHYSICAL, MENTAL, and COMMUNICATION DEMANDS:

Requires physical skills to meet demands of all Administration Office activities which may include standing for long periods of time, kneeling, bending, lifting of at least 20 pounds, and other physical demands that Administrative activities may entail. Requires the ability to work for prolonged periods of time at high levels of activity, managing multiple tasks with varying deadlines. Requires the ability to communicate and work effectively with people of diverse ethnic and socioeconomic backgrounds. Requires the ability to communicate and work effectively with a variety of agencies and community organizations. Requires strong communication skills, both oral and written.

Role: Accounts Payable Specialist

Reports to: Controller

Location: Administration Office (Downtown Honolulu)

Hours: 40 hrs/wk M-F

Pay: $42,000 - $45,000 annual
