OFFICE ADMINISTRATOR

Job Description

Summary:Assist with general office tasks to include phone assistance, office supplies orders, scanning, filing, and small projects as assigned. Coordinate the bidding process for a mid-sized paving and sitework contractor. Build relationships with customers, subcontractors, and vendors while facilitating and improving an efficient sales system. Assist in other administrative areas, as needed.

Essential Functions:

  • Answer and manage incoming calls and manage Star 2 Star system
  • Greet Customers and visitors.
  • Meeting/Event planning as needed
  • File, scan, fax, copy, printing of plans and reports and manage documents as needed
  • Sort mail and pick up mail
  • Inventory and order office supplies as needed
  • Assist of maintaining updated Insurance certificates for Vendors
  • Renovation incoming calls/outgoing estimates tracking spreadsheets
  • Perform other duties and responsibilities as assigned by Supervisor
  • Assist with Social Media posts
  • Assist with Marketing programs as needed

Estimating Department Assistance Functions:

  • Initiate the bid process (Bid file setup).
  • File, scan, fax, copy, printing of plans, bid documents and reports as needed
  • Qualify new subcontractors/vendors
  • Maintain and update the Bid Files
  • Administer delivery of completed bids (Online)
  • Obtain Bid Bonds
  • Prepare bid documents for submittal
  • Maintain bid statuses updated (Active vs. Lost vs. Awarded) within Bidding software
  • Facilitate constant communication between Customer & Estimating Team
  • Maintain Bid Files with updated Price sheets and Preferred Vendor List
  • Continuously check GC/Municipalities websites for new solicitations

Other Functions

  • Miscellaneous purchasing
  • Assist other departments, when needed
  • Assist with special projects

Job Requirements

  • High School Diploma, GED, or the equivalent preferred
  • Prior office experience with multiple tasks
  • Valid Florida Driver’s License
  • Good communication skills
  • Ability to follow instructions well
  • MS Office proficient (Word, Excel, Outlook, PowerPoint)
