BlueSun has an excellent opportunity for a Office Specialist 2 in Oregon City, OR
Work hours are Monday-Thursday between 7:00am- 6:00pm.
The Clackamas County Juvenile Department is seeking an Office Specialist 2 who will play a critical role in providing support services to assist Juvenile Department clients and community partners to support Local, State and Federal services. You will provide exemplary customer service, in person, in writing and over the phone, to victims, judges, court personnel, police agencies and other jurisdictions, community members and co-workers. In this role, you will accurately enter sensitive and confidential data, including police reports, with a high level of attention to detail and accountability, focus on organizing and prioritizing work, serve as the point of contact for local agencies, work collaboratively with Juvenile court counselors, Deputy District Attorneys (DDAs), Juvenile Intake and Assessment Center staff and victim services specialists. Another major component of this position is to function at a high level performing clerical duties, such as reception, scanning, form and document processing, answering phone, and/or processing mail. 
Preferred Qualifications/ Transferrable Skills:At least two (2) years of increasingly responsible clerical office experience, including data entry, reception and document processing
At least two (2) years of experience providing customer service over the phone and in person
At least one (1) year of experience working with sensitive and confidential information
At least one (1) year of experience in positions that required strong organizational skills
At least one (1) year of experience establishing priorities and managing workload with minimal supervision
Basic proficiency in Microsoft Word
Strong data entry skills
Strong verbal and written communication skills, including ability to effectively communicate with emotional or upset customers.

o Ability to handle a wide range of situations and circumstances effectively, positively, and professionally and to maintain composure in difficult, stressful and quickly emerging situations
o Exercising tact, good judgment and diplomacy, especially while working with people who are experiencing extreme emotions

o Promoting and fostering a supportive and collaborative, team-oriented work environment
o Basic proficiency in Microsoft Office software applications, such as Excel and Outlook
o Collaborative, team-oriented approach to work
o Ability to be flexible, self-motivated and work independently
RESPONSIBILITIESo Performs duties and functions of a sensitive and/or confidential nature. Secures, processes, interprets and enters complex or technical materials such as legal and/or formal documents, examines information for proper data entry and case assignment, appropriately communicates with supervisor/counselors when assistance is needed, identifies errors and provides solution focused changes to information gathered or entered.
o Prepares and organizes case file documents, accurately interprets and completes data entry functions following established State protocols from police agencies, court orders/documents, juvenile counselors and other individuals and/or County partners. Prepares and organize youth case files to support our Juvenile Intake and Assessment Center staff, which is a 24/hr operation, Juvenile Court Counselors, and Supervisors. Assigns cases, performs data entry of decision points, updates population groups, closes case files and other support duties following established departmental protocols.
o Documents and maintains specific procedural and other workflows where requirements are complex, and where accuracy and effectiveness are critical; may utilize a variety of computer systems and applications. 
o Professionally communicates verbally and in writing with a variety of county agencies, district attorney’s, courts, community partners and juvenile staff to secure necessary legal and confidential documents and/or sensitive information.
o Maintains electronic record systems with a variety of subject matter to provide easy access to records and information; performs quality assurance of scanned documents; consults with supervisor as to nature of data requested as appropriate.
o Provides an effective and positive customer service experience by greeting and acknowledging individuals timely, providing accurate information and direction on Juvenile matters including Juvenile Court matters. Receives telephone calls and visitors from the public or other County departments; transfers or refers callers to appropriate staff/resource; may be required to evaluate nature of call to determine proper referral.
o Composes routine correspondence, departmental references and other clerical forms proof reading and edits document for grammar, clarity, punctuation and spelling without altering author's intent; updates and maintains spreadsheets, databases and reports; tracks and logs data for the department, and or employees.
o Effectively operates complex equipment and office machinery; consults technical or service manuals to resolve minor telephone, copier, and other equipment problems, may train department staff in proper equipment use and maintenance; serves as the point person for ordering general office supplies for the department. Required: Must pass a criminal history check, including fingerprinting as mandated by Oregon Revised Statutes.
