The talent acquisition representative supports the talent acquisition team with day-to-day recruiting functions such as: scheduling applicants for testing and interviews, corresponding with candidates, conducting phone interviews, managing the pre-employment background screening process, and facilitating new hire processes. This position also serves as the backup to the manager, talent acquisition and employee relations and talent acquisition specialists in answering questions related to the status of the various positions being recruited for. Essential Functions
- Schedule interviews for internal and external applicants for hourly or salaried vacancies circulated within the company and/or externally, to include coordination with supervision and/or management personnel.
- Responsible for conducting phone interviews to assist in the screening process of applicants.
- Manage the assessment process to include scheduling and administering applicant assessments and monitor usage and availability of frequently used assessments.
- Identify opportunities and solutions for department improvements and increase efficiencies. Participate in special projects and recruitment activities.
- Research and recommend creative, innovative methods to source candidates and coordinate social media activities with corporate communications.
- Assist with the input of records into the HRIS system to include the input of interview information, applicant information as well as any additional documentation as needed in the HRIS system.
- Utilize the HRIS system, imaging system and various hard copy files for verification of employee data. Assist with reporting and audit documentation as needed.
- Manage the applicant and supervisor survey to include making updates and tracking surveys for TA department metrics.
- Serve as a subject matter expert on questions related to the interview and selection process/procedures, test administration, pre-employment background screenings, Fair Credit Reporting Act (FCRA) and I-9 documentation.
- Manage the pre-employment screening process on potential employees. This includes education verification, professional reference, drug testing, criminal background check, license verification, etc. Responsible for ensuring the information received is consistent with what the applicant provided and researching any discrepancies to make a final hiring recommendation to the TA specialist. Handles sending the pre-adverse and adverse action letters as needed.
- Assist applicants with travel and lodging arrangements, when necessary, for on-site interviews.
- Identify applicant referrals, inputs necessary referral information into the HRIS system, tracks payments and certificates and maintains reporting.
- Serves as primary contact to IT and other necessary partners for remote contractor set up and required compliance module completion.
- Handle confidential information/situations in a professional manner, as well as work in an extremely fast paced environment with constant interruptions and the challenge of meeting and prioritizing many different customer needs at the same time in the same professional manner.
- Participate in the set-up of new employee orientation and distribute any needed documentation and items to the hiring area. Responsible for reporting new hires to the Kansas Department of Labor. Facilitates new hire orientation and/or assists in presenting assigned information to new hires in rotating order.
- Performs administrative and technical support duties for the manager, talent acquisition and employee relations and talent acquisition specialists.
- Must have the ability to repeatedly change between a sitting and standing position to greet and/or assist internal and external customers and involves working on a PC keyboard extensively, up to 80% of each day.
Qualifications
- High school diploma or equivalent is required. Two years of related human resource experience, preferably with a talent acquisition emphasis at a large company where primary duties are coordinating recruiting (testing, interviews and pre-employment screenings) OR a bachelor’s degree in a related discipline (i.e., human resources, business administration) in lieu of the HR experience.
- Strong computer skills in order to operate effectively with company systems and programs.
- Good customer service skills with an ability to answer questions tactfully and diffuse difficult situations.
- Professional oral and written and presentation communication skills with the ability to communicate professionally with all levels of the company.
- Knowledge of FCRA, employment laws and regulations, and EEO requirements to complete the background screening process, as well as assist with application screening is preferred.
- Establish and maintain effective working relationships with applicants, managers, and outside vendors.
- Requires the ability to deal with confidential information/situations, as well as work in an extremely fast paced environment with constant interruptions and the challenge of prioritizing and meeting many different customer needs at the same time.
- Self-motivation and discretion to work independently with little direct supervision to drive projects to completion while meeting numerous and frequent deadlines.
- Must maintain a low record of unscheduled absences.
- Ability to work independently and cooperatively within a team environment.
