Title: Accounts Payable Associate
Reports to: Accounts Payable Manager
Department: Accounting
Position: Hourly - Full-Time
Location: On-Site
Summary:
The Accounts Payable Associate is an integral support role in the accounting operations of Blake Thermal Sales & Service, Inc., the leading provider of thermal energy solutions in the Northeast. Website - https://www.blakethermal.com/
The ability to maintain accuracy while meeting internal and external deadlines is critical to being successful. All tasks and duties are to be performed within Blake Thermal's core values of: Customer Focused, Opportunity is Earned, Solutions Provider, Can-Do Attitude, Driven to Win, Confident but Humble.
Duties and Responsibilities of the Position:
- Accounts Payable
- Timely process vendor invoices to ensure all payment discounts are obtained and late payment charges are avoided.
- Correctly code expense invoices; verify proper approvals; and confirm that company spending policies are adhered to.
- Investigate discrepancies and communicate with co-workers to resolve discrepancies
- Correspond with vendors regarding missing invoices, price discrepancies, and other items, as needed
- Cash Disbursements
- Process disbursements
- Maintain cash disbursements forecast
- Other duties
- Complete vendor credit applications and set up vendor in system
- Obtain and maintain subcontract insurance records
- Obtain and maintain vendor IRS W-9 forms
- Prepare and file annual IRS Forms 1099
- Administer fleet fuel and transponder programs
- Assist with daily posting of Cash Receipts
- Other duties as assigned
Job Requirements:
- 1 - 2 years Accounts Payable experience
- Oracle's NetSuite experience a plus
- Intermediate MS Excel experience desired
- Attention to details a must
- Strong communication and interpersonal skills
- Strong organizational and time management skills
