Role Summary 
The Accounts Receivable Specialist is responsible for processing accounts receivable. This includes entering orders, invoices, maintaining ledgers, and resolving account irregularities. This position will also ensure the timely and accurate processing of cash receipts and any other accounting transactions related to accounts receivable. The Accounts Receivable Specialist will also be responsible for collections and any customer inquiries.

Responsibilities 

• Reviewing new customer purchase orders and sales quotes to create new sales orders
• Bill customers based off quoted terms
• Process any cash receipts including, checks, EFTs, or credit cards
• Coordinate with vendors to collect on outstanding payments
• Communicate with customers on any accounts receivable inquiries
• Coordinate with project managers on current status of projects
• Issue ad hoc, monthly, quarterly, and annual reports for sales, collections, and aging
• Maintain tax exemption document library
• Post and reconcile company cash receipts to general ledgers 
• Investigate and resolve billing discrepancies or misapplied cash transactions 
• Post accounts receivable data to profit/loss reports, balance sheets and income statements 
• Review all credit balances, and refunds and apply adjustments to corporate billing records 
• File and Pay Sales & Use Tax for Nexus states
• Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working environment with active participation in the health and safety program 
• Adhere to all environmental policies and programs as required

Requirements 

• 5 years related work experience required, experience in life sciences a plus 
• Proficiency with QuickBooks or related ERP (preferably Microsoft Dynamics)
• Must be computer literate. Preferred candidate will have previous experience with accounting software, Microsoft Word and Excel 
• Ability to recognize, research and resolve discrepancies in financial data 
• Knowledge of milestone billing, INCO terms, and Sales & Use tax is a plus
• Experience with supplier portals (i.e Ariba and Coupa) is a plus
• Must possess excellent customer service skills 
• Strong verbal and written communication skills 
• Detail-oriented and works with a high degree of accuracy 
• Ability to multi-task in a fast-paced environment 
• Must be extremely responsible with integrity and ability to maintain confidentiality and discretion
