Description

The Administrative Specialist will perform administrative tasks and services to support effective and efficient operations of the HR & Accounting department. This position will report to the HR Manager. 

Supervisory Responsibilities: None

FLSA Classification: Non-Exempt

Essential Duties & Responsibilities:

  • Conducts recruitment activities to include posting jobs, placing advertisements, scheduling interviews and ordering drug tests; onboards new hires.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate staff.
  • Maintains the integrity and confidentiality of HR & accounting files and records.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, and employee recognition events.
  • Reviews expense reports; authorizes employee reimbursements, as appropriate. 
  • Serves as backup to other members of HR & Accounting team. 
  • Performs general office tasks, such as filing, data entry, processing the mail, etc.
  • Other duties as assigned. 

Required Skills & Abilities:

  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent communication skills, both written and verbal.
  • Detail oriented and organized. 
  • Proficient in Microsoft Office Suite
  • Ability to gain competency in Quick Books and HR information system (on-the-job training provided). 

Education & Experience:

  • High school diploma required. Associates degree preferred.
  • Prior office experience required.

Physical Demands:

  • Must be able to accurately exchange information with co-workers and management. 
  • Occasionally moves files and boxes of records weighing up to 20 lbs. 
  • Constantly operates a computer and other office machinery, such as copiers, printers, and telephones.
  • Must be able to remain in a stationary position for 90% of the time.
