Office Manager perform a range of administrative tasks in the agency.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Utilizes various software applications to compose and/or type letters, memos, reports, maintain client/employee records and other documents.
  • Answers telephone inquiries, attends to visitors, and assists other staff in the organization with their inquiries.
  • Operates a range of office machines such as photocopiers/scanners, computers, and faxes.
  • Files papers and documents so that they can be easily found when needed. Upload scanned documents into electronic files as required.
  • Provides assistance for other staff as needed.
  • Maintains HIPPA policy regarding all client information.
  • Contacts insurance companies to verify co-pays and deductibles
  • Bills Insurance for client sessions

Education and Experience:

  • Minimum of a high school diploma or GED
  • Must be proficient in Microsoft Excel and Word.
  • Knowledge of Microsoft Office products.

Language Skills: Ability to read, analyze, and interpret documents. Ability to effectively present information to management and staff.

Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to deal with several abstract and concrete variables. Ability to anticipate needs and/or problems based on current events and/or situations and to develop solutions.

  • Ability to prioritize multiple tasks and projects;

  • Ability to interact appropriately and effectively with families, children, community resources, service providers, and other professionals both over the telephone and in face-to-face contacts.
  • Ability to be flexible in the needs of the agency as multiple services are offered which requires many varying tasks
  • Must be able to pass both a criminal and dcf background check.

Job Type: Part time: Approximately 38 hours a week

Salary: $15.00 /hour
