BerryDunn is Hiring an Administrative Assistant Near Portland, ME

Overview

BerryDunn is seeking an Administrative Assistant with knowledge of reception duties and overall front office activities to join our Facilities and Administration team. The Administrative Assistant will organize office communication and activities on a day-to-day basis. This individual’s primary responsibilities include handling incoming calls and visitors while maintaining office common areas and facilitating meetings. Responsibilities within the company will be added to this position with continued experience and growth. You will be reliable, punctual, organized, and have a demonstrated ability to juggle multiple priorities in a deadline driven environment. This position is planned to sit in Portland, ME. You will report to the Office Manager in theFacilities and administration team supporting our consulting area.  

Responsibilities

You Will:

  • Answer incoming phone calls
  • Greet all incoming clients (including getting drinks, hanging coats, talking, and assisting clients as needed)
  • Distribute faxes
  • Take and retrieve messages for various personnel
  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website and other related information
  • Distribution of incoming mail and UPS, FedEx, etc.
  • Take outgoing mail to the mailbox at 1 pm and 5 pm, as well as outgoing FedEx to box at Building 1 pm by 6:30 pm
  • Maintain postage machine
  • Review team schedules via the Outlook Calendar daily
  • Support staff as needed (including scheduling appointments, setting up conference rooms, etc.)
  • Impeccably maintain the lobby and conference rooms as to make a favorable first impression on visitors
  • Mail monthly billings, stuff envelopes
  • Type various correspondence, copy, assemble and mail, prepare priority mail, FedEx, etc.
  • Call delivery vendor as needed
  • Share kitchen maintenance
  • Make miscellaneous purchases for firm (groceries, flowers, etc.)
  • Cross-train as back-up for other Administrative Team members
  • Be responsible for copier and printer maintenance
  • Maintain office supplies & work with vendors to negotiate the best prices
  • Assemble all financial statements
  • Prepare client engagement letters
  • Help with administrative tax processing of tax returns during busiest times, as requested

Qualifications

You Have:

  • High School Diploma
  • Good planning and organizational skills
  • Well-developed interpersonal and communication skills
  • Professional appearance and manner
  • Computer literacy, specifically MS Word for windows
  • Minimum three years relevant experience
  • At least two years of previous experience in office management
  • The person in this position frequently communicates with team members and customers. Must have the ability to communicate accurately and clearly both orally and in writing

Compensation Details

The base salary range targeted for this role is $22/hr - $25/hr. This salary range represents BerryDunn’s good faith and reasonable estimate of the range of possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications in excess of the minimum requirements for this posting, that applicant is encouraged to apply and a final salary range may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The salary of the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
