TITLE: Administrative Office Assistant (Development/General)

REPORTS TO: Executive Director

TOTAL HOURS PER WEEK: 20 Hours/week, part-time, daytime, during the work week. Reduced schedule during summer months is negotiable.

Belonging to Each Other (BTEO) guides our Falmouth Mass neighbors in their transition to more stable housing by providing temporary cold-weather housing and year-round loving, supportive services. BTEO provides services at no charge, using donated funds, rented houses, and a mix of paid and volunteer staff. We are currently in our 8th year. Our office is in downtown Falmouth.

JOB DESCRIPTION:

BTEO seeks a paid Administrative Assistant to support BTEO’s charitable programs and fundraising activities. The successful candidate will be a bright, motivated individual with attention to detail and a demonstrated ability to quickly learn how to use database applications (see below). A set schedule of 20 hours per week over 4 days between 9:00-3:00 M-Fr will be mutually agreed upon. A reduced schedule during summer months is negotiable.

JOB RESPONSIBILITIES:

  • Process accurately all gifts from individuals and organizations in DonorPerfect contact management application.
  • Manage gift acknowledgement process, under guidance of Development

Director and Executive Director.

  • Update donor and volunteer records in DonorPerfect, including contact information.
  • Process new volunteer data accurately in DonorPerfect and Helpful Village

(volunteer scheduling contact management application), and assist in onboarding volunteers.

  • Receive and process reports from volunteer program managers of services provided.
  • Using DonorPerfect or Helpful Village applications, generate and transmit updated lists of volunteers for program managers and BTEO staff monthly.
  • Create fundraising events in Event Brite and events for volunteers and program participants in Helpful Village application. Manage registrations coming through the application and inform event leader of status.
  • Send e-blast notices and reminders about meetings and events using

DonorPerfect, Constant Contact, and Helpful Village.

  • Assist with Website and Social Media posts.
  • Assist with administration and online registration for 2 annual fundraising events.
  • Assist Executive Director with preparation of general correspondence, presentations, reports and documents using Microsoft suite.
  • Assist receiving of non-cash donations, and provide receipts for donations received in office.
  • Other related duties as assigned.

SKILLS REQUIRED:

  • At least two years of experience in an office environment
  • Excellent communications skills and judgment with the ability to maintain privacy and confidentiality
  • Experience with donor database software and Constant Contact a plus
  • Proficient with Microsoft Suite, especially Word, basic Excel spreadsheets, and

PowerPoint, or comparable programs in Google Suite

  • Excellent attention to details
  • Demonstrate an ability to think ahead, plan, and anticipate outcomes

Preferred:

  • Familiarity working within a non-profit environment
  • Interest in BTEO’s mission
  • Appreciation of volunteer programs and personal experience as a volunteer
