BECOMING INDEPENDENT JOB DESCRIPTION

POSITION:Finance Specialist

PROGRAM:Finance Department

POSITION DESCRIPTION:This position works under the supervision of the Finance Manager. Primarily responsible for billing, accounts receivable and general ledger accounting to support monthly close. There will be cross-training on payroll and accounts payable functions to support all aspects of the Finance team. 

SALARY:$25-28/hour DOE

STATUS:Part-Time 25-30 hours per week; Non-Exempt

CRITICAL JOB FUNCTIONS

Possesses the professional skills and abilities specific to the technical aspects of the position. This position requires large volumes of data entry and attention to detail and accuracy. 

The ideal candidate will have strong communication skills and be able to work collaboratively with the rest of the team. The Finance team works together to meet monthly billing deadlines with the Regional Center and to support the overall financial needs of the Agency. 

BILLING/ACCOUNTS RECEIVABLE

  • Process bank deposits.
  • Verify and run credit cards for donations and receipts through Clover virtual terminal or other platforms as received. 
  • Enters and posts customer payments and transactions in Great Plains accounting software or Bill.com software. 
  • Creates and populates invoices according to company practices; submits invoices to Regional Centers and other customers. Requires a high degree of accuracy and attention to detail. 
  • Maintains and updates customer files, including name or address changes.
  • Creates reports regarding the current status of customer accounts as requested.
  • Researches customer discrepancies and past-due amounts with the assistance of other staff.
  • Identifies delinquent accounts by reviewing files, and contacts delinquent account holders to request payment.
  • Drafts correspondence for standard past-due accounts and collections. 
  • Assists the Finance Manager in reconciling revenue accounts each month.
  • Relays changes of information to appropriate employees.
  • Performs other related duties as assigned.

PAYROLL

  • Cross-train in biweekly payroll processing. 
  • Participate in quarterly and year-end tasks including annual audits, benefit open enrollment, and year-end tax forms. 

ACCOUNTS PAYABLE

  • Cross-train in accounts payable to support the Finance department as needed. 
  • Records entry of petty cash, verifies documentation, and distribution of petty cash.

OTHER

  • Assist in monthly close with fixed assets and other general ledger account reconciliations. 
  • Annual audit and budget tasks as delegated by the Finance Manager.
  • Executes position-specific job duties and other duties as assigned at the discretion of BI.

QUALIFICATIONS AND REQUIREMENTS

EDUCATION:

High School diploma or equivalent required. Accounting Certificate, Associates or Bachelors degree in Accounting or Business preferred.

EXPERIENCE:

Two years experience in payroll, accounts receivable, and accounts payable, preferred. 

Two years experience in General Ledger accounting and month close preferred. 

Experience with computerized accounting software. 

COMPUTER SKILLS:

  • Strong computer skills, including Windows computer operations. Adept at learning new platforms. 
  • Intermediate-level skills in Microsoft Office (Word, Excel, PowerPoint) or related software as well as other accounting software programs.
  • Intermediate-level skills in Google Mail, Google Calendar, Google Slides, and Google Drive are desirable.
  • ADP Workforce Now experience preferred.

PHYSICAL REQUIREMENTS:

  • A physical condition that permits frequent bending, turning, and lifting without injury
  • Prolonged periods sitting at a desk and working on a computer
  • Lift at least 40 pounds
  • Clearance of pre-employment Functional Capacity Evaluation with no restrictions that cannot be reasonably accommodated without undue hardship

MAY REQUIRE ONE OR ALL:

  • Valid California driver’s license
  • Insured, dependable vehicle
  • Proof of current auto insurance
  • First Aid and CPR certification
  • Criminal Record Clearance
