Beautycounter is Hiring an Executive Assistant Near Los Angeles, CA

The Executive Assistant provides high-level administrative support to C-Level executives by managing a complex daily schedule of meetings, handling information requests, coordinating meetings, events and travel and preparing expense reports.

In This Role You Will:

  • Managing executives’ calendar and ensuring that days run smoothly, scheduling all meetings, calls, and other appointments in and outside of the office.
  • Partnering with other Executive Assistants to coordinate meetings/calendars between teams.
  • Preparing expense reports for Executives.
  • Arranging travel, hotel, transportation and off-site meetings for Executives.
  • Own coordination of monthly and quarterly all company and off-site planning meetings and events.
  • Preparing agendas and presentations for meetings.
  • Serve as a liaison between the Executives, staff members and members of the public.
  • Manage and coordinate executive email correspondence and respond on behalf of the executive as necessary.
  • Track expenses for the department and ensure expenditures are properly coded.
  • Facilitate the invoicing and payments of select vendors as related to the various projects.
  • Be anticipatory of executives’ needs and ensure readiness.

Qualifications:

  • Ability to communicate effectively both verbally and in writing.
  • Intensely organized and pro-active.
  • Excellent time management skills.
  • Ability to collaborate and work effectively with people at all levels of the organization.
  • Flexibility and ability to work in a fast-paced environment.
  • Technical proficiency with Microsoft Office and Google Workspace suites.
  • Ability to always maintain confidentiality.
  • Bachelor's Degree preferred or equivalent experience.
  • At least 10 years of administrative experience working with C-level executives.
