POSITION SUMMARY : The Accounts Payable Supervisor position contributes to the overall effectiveness of the finance department by overseeing and leading a team of AP clerks, focusing on customer satisfaction and quality. The primary objective of the position is ensuring the timely payment of valid approved invoices, preparation of monthly journal entries and analysis, and assisting in the development of staff and the review of their work. Individual works under minimal supervision and has some latitude for decisions within the scope of delegated authority. The position will provide assistance to AP Manager as directed. ESSENTIAL FUNCTIONS: Oversees the completion of tasks of the AP team, ensures proper coverage, cross training, and efficiencies are in place, and provide responses to staff inquiries. 30% Coordinates month end and year end closing activities, including but not limited to account reconciliations, journal entries and open payables review. Ensures all invoices received have been posted prior to close or properly accrued. 10% Manage EDI processes, proactively reviewing data for accuracy and investigating issues promptly. 10% Provide leadership, expertise, and guidance to the staff to ensure that all invoices and expense reports are researched and properly processed for payment within the stated terms. 10% Troubleshoots and resolves issues that impact AP with the help of AP manager, as needed. Assist in the testing of upgrades and fixes to systems. 10% Understands and complies with established departmental processes and procedures designed to support internal controls efforts. Identifies and brings to the attention of department management internal controls deficiencies. 10% Assist with the maintenance of AP process and policy documentation, identify areas of process and productivity improvement, and assist in implementing required changes. 10% Communicate effectively with AP manager and provide information related to issues, roadblocks, and accomplishments of the team. 10% ALL OTHER DUTIES AS ASSIGNED EXPERIENCE/QUALIFICATIONS: Minimum Degree Required: High School Diploma Preferred Degree: Bachelor’s degree in Business/Accounting Certificate(s) or License(s): N/A Experience: Minimum of 7 years in Accounting/Accounts Payables KNOWLEDGE, SKILLS AND ABILITY: Strong sense of urgency and initiative to provide quality work. Strong problem solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and excellent multi-tasking skills. Ability to meet deadlines Ability to communicate effectively verbally and in writing Proficient in Excel, Word, and 10-key; AS400 experience a plus. Strong work ethic; detail oriented, professional attitude, reliable; possess strong organizational and time management skills. Maintains composure during challenging situations.
