JOB SUMMARY:

Responsible for maintaining organized and updated documents while ensuring their accuracy, quality, and integrity. Duties include using document management software to upload or scan paper documents, retrieving documents for authorized personnel and ensuring document storage to comply with laws and regulations. Establish and maintain record retention timelines. This specialist help the Company adhere to record retention policies, safeguard information, and retrieve data more effectively.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Print and distribute documents as needed.
  • Scans and uploads documents according to company procedure.
  • Collects and register all documents in the company’s system.
  • Review and update documents for maintenance and quality control.
  • Interacts with other members and parts of the organization.
  • Keeps other personnel updated on new document versions and how to obtain access.
  • Handles records across various units.
  • Maintains confidentiality regarding sensitive documents.
  • Helps Prepare Docs for internal and External audits.
  • Reviews and provides Quality control for previously scanned docs and request rescans as necessary.

Requirements

REQUIRED SKILLS AND ABILITIES:

  • Must have excellent computer skills and be proficient in Microsoft Office, Adobe, CSI and CenterDoc 
  • Excellent written and verbal communication skills, attention to detail and follow-through.
  • Strong knowledge and experience in banking operations primarily with lending documentation. 
  • Strong training abilities and people skills.
  • Dedication to teamwork and long-term commitment to success. 

Education/Licenses/Work Experience

  • High school diploma or GED equivalent required. 
  • Three to five years’ experience in banking/lending area preferred. 

Physical Demands

  • Prolonged periods sitting at a desk and working on a computer.
  • Remain in a stationary position for sustained periods of time.
  • Occasionally move about inside the office to access file cabinets and/or other office machinery.
  • Occasionally required to raise objects up to 25 pounds from a lower to a higher position, move objects horizontally from position to-position with, and/or to bend body downward and forward, and/or extending hands and/or arms in any direction to access files and/or other office machinery. 
  • Consistent use of a computer and/or other office machinery is required, such as a keyboard, calculator, copy machine, scan machine, and/or computer printer. 
  • Making substantial and repetitive movements (motions) of the wrists, hands, and/or fingers.
  • Close visual acuity is required to perform activities including, but not limited to, preparing and analyzing data and figures, transcribing, viewing a computer terminal, and/or extensive reading.
  • Regularly required to communicate verbally employees, clients, and vendors.
