Premier Orthodontic is seeking to hire a Treatment Coordinator to our team! We are looking for a detail oriented, reliable team member for our fast-paced office. CORE FUNCTIONS

· Greeting Pt’s: Calling to confirm initial consultation appointment the day before appointment, if patient missed appointment, call to reschedule, scheduling/following up with observation appointments. Checking for insurance updates. 

· Records: Taking initial x-rays and photos for all new patients. Make sure all new patient forms are complete, including Health History, Contracts and Consent forms, PAF’s, Referrals uploaded and sent to providers. Completing all treatment notes on the same day and providing details for treatment plans and other arrangements made with parents/patients. 

· Finances: Documenting any arrangement made with patient/parents, communicating thoroughly with finance team in regard to any arrangements, discounts, or promises made. Estimating proper insurance benefits, reading and understanding insurance verification form, attaching the insurance ledger to all contracts in the correct time frame. Responsible for initial down payments and Orthobanc/Wave monthly autopayments set up, creating pop ups for set up. Providing necessary documents for billing insurance, including preauthorization's and medical necessity letters of treatment. Correctly entering responsible party on patient contracts.

· Reports: Entering all patients on starts sheet, matching your office to Wave reports, submitting end of month reports by the 1st Friday following, sending TC reports daily, with proper template, including tasks completed on non-patient day. 

· Daily Duties: Being present at the office 20 minutes prior to start of the day, 10 minutes prior to start after lunch. Must be ready to take patients back at start time, attending morning huddle with any specifics for scheduled consultations. Having a positive attitude while at work. Responding to all emails in a timely manner. Following up with patients not started, working in OrthoPrompt for updates with patients, noting the chart with follow up dates and outcome, helping front desk answer phones, schedule/check in patients, assisting back office with sterile/photos. Working with other TC’s for finance appointments. Confirming referral source for all new patients and correcting in Wave, only one primary source is needed. Double checking patient demographics same day as consult to ensure it is correctly entered as editing cannot be done after 24 hours. 

· Marketing: Deliveries on weekly basis to referring offices and marketing to new offices, tracking all information on liaison sheet, sending thank you cards directly to Dr’s. 

· Teamwork: Helping in other areas where there is need, you are not limited to your office. Maintain a clean and organized exam room, help with cleanliness in waiting room and coffee area when needed. 

· Treatment: Assisting patients schedule appointments for dental work while in the office, following up after one week on status of treatment. Communicating with technicians about treatment plans (appliances, metal/clear brackets, Invisalign)
