Administrative Officer 81816928

A leading medical institution is seeking an Administrative Officer. The successful candidate will be responsible for planning and managing the functions and operations of the Health Departments of Adult Nursing, Emergency Services, and Professional Nursing Practice, the functions and operations of which are significantly complex and broad in scope and responsibilities, and highly critical and sensitive in nature. The ideal candidate has prior experience in progressively responsible administrative support.

Administrative Officer Pay and Benefits:

  • Hourly pay: $23/hr
  • Worksite: Leading medical institution (San Francisco, CA 94143)
  • W2 Employment, Group Medical, Dental, Vision, Life, 401k, PSL
  • 40 hours/week, 5 Month Assignment

Administrative Officer Responsibilities:

  • Manage/oversee administrative, operational, program, and project management functions, including, but not limited to, complex calendars/scheduling, travel arrangements, budget/financial management, IT, facilities, contracts/agreements, department- and systemwide communications, True North Boards, human resources.
  • Manage/oversee kickoff and timelines for the critical department/system projects and initiatives, including design and construction, patient safety, continuous improvement, and health system accreditations.
  • Develop and manage comprehensive department and systems databases, reports, and information resources. Performs financial/budget/cost analysis, including pre and post-project targets.
  • Manage vendor/purchase requisitions and payment process for projects and initiatives related to patient care, division needs, and accreditation.
  • Function as lead and subject matter expert to department and unit support staff pertaining to HR functions, policies, and procedures, communications.
  • Act as liaison for leaders and departments/units.
  • Coordinate and manage special events including, but not limited to, Nurses Week, Health Appreciation Week, International Women’s Week, awards, and various other departments/health system ceremonies and events.
  • Analyze budget and financial/cost reports.
  • Oversee project and funding resources.
  • Perform recharge and payment administration.
  • Serve on committees, representing department(s) and department leadership.
  • Other projects and duties as assigned.

Administrative Officer Qualifications:

  • 5 years of experience in progressively responsible administrative support.
  • Bachelor's degree in a related area and/or equivalent experience/training.
  • Experience in the health care industry is preferred.
  • Strong understanding of financial data management, working with spreadsheets, and reporting system experience.
  • Thorough knowledge of University rules and regulations, processes, protocols, and procedures for budget, accounting, and fund management, and/or personnel management is preferred.
  • Analytical skills support is needed to effectively manage the complexities of an increased office workflow.
  • Able to work independently, exercise their own judgment to resolve administrative operational issues, and execute special projects assigned to them.
  • Excellent interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling skills.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website/newsletter design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Knowledge of financial analysis, processes, reporting techniques, and human resources policies and procedures for health system employees.
  • Knowledge of common University-specific computer application programs.
  • Small to mid-level project management skills.
  • Ability to multi-task with demanding timeframes.
  • Ability to use discretion and maintain confidentiality.
  • Ability to analyze and interpret data regarding business operations and provide recommendations for efficiency, and budgetary.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
