Overview

Support the team as needed in finding, winning, fulfilling, and keeping business. Your responsibilities will be an exciting mix of sales, marketing, IT and social media support along with general office administration support to our team of brokers in the Iselin, NJ office.

Responsibilities

  • Provide support to the team in technology applications, i.e., PowerPoint, CRM, Outlook, Word, Excel, ZoomInfo, Teams, Constant Contact, and other company supported programs. Experience with Adobe Creative Suite (InDesign, PhotoShop, Illustrator, and Acrobat) preferred.
  • Support the team in utilizing Outlook, HubSpot CRM, SaleForce, and other data bases, including entry and maintenance for the purposes of direct marketing and client development. Create client mailing, including brochures with graphics and update team sales proposal materials as needed
  • Conduct market information research through various sources including CRM and third-party databases such as CoStar, etc
  • Provide Transaction support including preparing market surveys, tour books and maps
  • Prepare and execute expense reports on a regular and timely basis
  • Create and maintain efficient information retrieval system within online file sharing programs such as Drobox and Boxed
  • Assist with filling out transaction forms
  • Assist with binding presentations
  • UPS/FedEx shipments as needed for team
  • General administrative support, including calendar and meeting coordination
  • Other administrative duties and special projects as required or assigned
  • Produce timely and accurate word-processed documents (reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)
  • Assist in preparation, control, and maintenance of legal documents (letters of intent, offers, proposals, commission agreements, listing agreements, amendments, waivers, extensions, etc.) throughout the deal and due diligence process
  • Coordinate deal processing and billing with brokers and finance department

Qualifications

  • Bachelor’s Degree or commensurate experience required
  • Minimum of 3 years of experience in an administrative support role
  • Advanced knowledge and efficient use of business suite computer programs including Word, Excel, PowerPoint, Outlook required, as well as a willingness to learn other programs and software as needed. Experience with Adobe Creative Suite (InDesign, PhotoShop, Illustrator, and Acrobat) preferredAbility to read, analyze, interpret, and create general business documentation
  • Ability to write reports, business correspondence and format presentations
  • Excellent and effective verbal and written communication skills
  • Ability to multi-task, utilize effective time management skills, and be able to recognize and respond to time sensitive issues and tasks
  • Ability to work efficiently under pressure with multiple timelines and with limited direction/ supervision
  • Ability to maintain discretion regarding personnel and industry-related matters
  • Positive attitude — always seeking to better our team, reaching out to bring value
