Avanti Residential is Hiring an Operations Specialist Near Scottsdale, AZ

Description

Evaluates and oversees organizational efficiency and makes necessary changes to maximize productivity. Assess the needs of the operations and ensure daily operations run smoothly and efficiently while ensuring policies and operational procedures remain compliant with Fair Housing and specific federal and state laws in which the company operates.

Operations

  • Work directly with SVP to find efficiencies at onsite operations level and modify workflows
  • Assist the SVP with administrative tasks
  • Assist SVP with budgets
  • Assist with the review and editing of weekly operations reporting and monthly property financial reporting packages.
  • Organize a variety of on-site and off-site meetings for company events.
  • Audit bonus data each pay period to ensure accuracy and compliance.
  • Prepare quarterly bonuses for the operations team.
  • Ensure compliance with all PMA’s
  • Track and manage all rebates
  • Receive and respond to all customer complaints
  • Work with Accounting team to modify expectations and troubleshoot operational issues with ledgers, check scanning, and audits
  • Conduct Annual Property Compliance Audits
  • Serve as internal investigator for potential theft or fraud at the site level
  • Work closely with vendor partners to troubleshoot issues and determine fixes that best suit overall strategies.
  • Manage and communicate operating standards between the sites and the corporate office and enforce standards based upon state and local regulations.
  • Assess functional support areas to identify and proactively respond to issues that arise in a timely, cost-efficient manner; partner with functional areas to identify efficiencies to optimize operational execution.
  • Manage risk throughout the sites from a fiscal, operational, and business standpoint.
  • Follow Federal, State and local laws. When laws are updated or enacted, work with internal departments to ensure that policy is updated/changed ensure that systems abide by those laws.
  • Act as the Fair Housing Officer for the organization to include policy review, Training evaluation, enforcement, and revision, ADA request for accommodations, overrides for screening criteria. Ensure response and tracking of filings, suits and issues related to Fair Housing in conjunction with Risk Management.
  • Manage and update company screening polices as needed.
  • Serves as a technical information resource for internal customers; may prepare presentations and written materials.
  • Onsite support for due diligence file audits, unit by unit inspections
  • Ensure compliance with all Section 8, Lura, or affordable programs
  • Assist with managing calendar for Regional Directors and SVP and in addition support managing travel itinerary and expense reporting for SVP
  • Coordinate biweekly operations meetings and agenda with SVP
  • Participate in special projects as needed
  • Other duties as assigned

Policy and Procedure

  • Manage and update any policies in the P&P manual for onsite operations
  • Stay up to date on all legal changes in industry and roll out changes in a timely manner
  • Manage all frequently used forms for onsite teams and make sure up to date forms are available for teams.
  • Oversight of Vendor Compliance and Expense Management
  • Evaluate policies, procedures, workflows, and systems at the site level to identify, develop and coordinate improvement in efficiencies and processes ensuring best practices are utilized.
  • Ensure that all changes to any Policy or Procedure are relayed to the site team in a clear and efficient manner with a description of the change and additional notifications of change on internal sites

Acquisitions and Dispositions

  • Assist the Regional Directors with all new acquisitions and dispositions.
  • Work with Marketing team and the Regional Director to develop strategy for the onsite team for all new acquisitions and renovations.

Requirements

  • Excellent verbal and written communication skills

  • Demonstrate a professional and positive demeanor when working with all Team Members.
  • Ability to adapt to the needs of the organization and employees, prioritize tasks and delegate when appropriate
  • Strong Project Management skills.
  • Thorough knowledge of Fair Housing-related laws and regulations.
  • Expert level knowledge of Yardi and all other systems currently used at the site level. Develop same for any new systems prior to roll out
  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organizations property management and training software systems.
  • Ability to travel locally and nationally.

Education and Experience:

  • Bachelor’s degree in business administration, Business Management or related field required;
  • At least three years of business operations experience required.
  • Experience in Real Estate and Property Management required.
  • Prior leadership experienced desired.
