JOB SUMMARY:
The Community Manager is fully accountable for all day to day property management operations, including maintenance performance, oversee and enhance the value of the property; Effectively manage and coordinate onsite team, activities, and available resources in order to accomplish community objectives as set forth by the Regional Director and Avanti. Objectives include maximizing rents/ occupancy levels and asset preservation. In addition, the Community Manager will train the assistant manager to assume all managerial duties in the event of the Community Manager’s absence.

SKILLS:
Necessary skills include a minimum of one-year supervisory experience and three years of multi-family property management; a working knowledge of resident and eviction laws and computerized property management software, YARDI preferred. Must have the ability to communicate well both verbally and in writing and possess strong organizational skills. Provide the ability to delegate and communicate along with the ability to problem-solve issues.
ESSENTIAL FUNCTIONS:
- Conduct all business in accordance with Avanti Residential policies and procedures; Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other Federal and State laws
- In conjunction with the Regional Director, the Community Manager will assist in formulation of budgets for each upcoming calendar year
- The Community Manager is responsible for staying within the established budget guidelines throughout the year
- Actively maintain and report monthly variances and narratives
- Ensures that all rents are collected when due and posted in a timely manner. Ensure all bank deposits are made immediately and deposits are reported to the corporate office on a daily basis
- Performs evictions, utility disconnects, and landlord liens as required on delinquent rents
- Coordinates with vendor/contractor regarding work scheduling, billings, vendor relations and certificates of insurance. Responsible for approving and submitting all invoices to corporate office for payment
- Conducts rental surveys and provides rental rate recommendations to Regional Director
- Ensures lease files are complete and executed properly. Approves all leases on the property
- Responsible for offices opening on schedule, condition of office, and model apartment
- Attends scheduled corporate management meetings, usually held on a quarterly basis
- Maintains records on all aspects of management activity on a daily, weekly, and monthly basis. Submits required reports to Regional Director on a weekly and or monthly basis
- Represent the company in a professional manner at all the times
- Perform other related duties and responsibilities as required
RESIDENT RELATIONS:
- Maintain a positive customer service attitude
- Periodic inspection of residents move-in/move-outs
- Review all notices to vacate to determine the cause of the move-out
- Ensure all resident requests and concerns are addressed promptly to ensure resident satisfaction
- Develop and/or implement resident retention programs (i.e., resident functions, special promotions, monthly newsletters, etc.)
- Ensure distribution of all company or community-issued notices (i.e., bad weather, emergency, etc.)
MARKETING/LEASING:
- Ensure property is rented to full capacity
- Conduct market surveys monthly and provide trend report information. Shop competition and be aware of neighborhood market conditions
- Continually monitor and analyze traffic logs, conversion ratios, budget guidelines, renewal information, marketing data, etc., to be able to give up-to-date and proper information when requested
- Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, etc.
MAINTENANCE:
- Physically walk and inspect community on a regular basis; check all vacant apartments
- Ensure maintenance board is updated daily with vacancy status. Coordinates with maintenance and make-ready staff to ensure timely condition of apartments after move-out
- Work closely with Maintenance Supervisor to monitor and schedule all maintenance activity and orders
SAFETY:
- Reports all liability and community incidents to the corporate office immediately. Ensures that all workers’ compensations claims are reported, and proper paperwork is completed
- Community Manager will complete any related safety checklists with maintenance staff
SUPERVISION AND MANAGEMENT DUTIES AND RESPONSIBILITIES:
- Conduct pre-employment interviews and make hiring recommendations as needed
- Interpret and apply personnel policies, departmental policies and other relevant policies and procedures
- Monitor performance of property and staff through periodic inspections and performance reports
- Review and approve time and leave reports for assigned staff
- Coordinate staffing to assure that all properties are adequately staffed
- Prepare and review performance appraisals and discuss with property staff as appropriate
- Conduct periodic staff meetings
KEY COMPETENCIES:
- Proven leadership skills necessary to direct all aspects of property management operations and staff
- Experience managing onsite with a minimum of 100 multi-family units
- Ability to create and monitor property budgets and prepare clear and concise financial reports
- Interpersonal skills necessary to resolve landlord and resident issues
- Ability to develop, review and approve maintenance standards
- Principles and practices of supervision, training and performance evaluation
- Proficient computer skills including knowledge of property management software preferably YARDI
- Knowledgeable of principles and practices of residential property management
- Work independently with minimal supervision and be accountable for actions, self-motivated
- Organize work, set priorities and delegate with proper follow up
- Excellent communication skills - written and verbal
- Positive attitude, professional demeanor, team player
- Thrive in a fast-paced environment
Requirements
EDUCATION AND EXPERIENCE GUIDELINES:
- Three years of increasingly responsible property management experience including one year of supervisory responsibility
- Possession of valid driver’s license and up to date vehicle insurance OR reliable transportation
