JOB TITLE: Director of Purchasing

*** $500.00 Sign On Bonus ***

(Requirements met at 90 days, per hours worked to earn sign on bonus)

HOURS: This position has a flex schedule, Monday – Friday, to be discussed in interview.

General Function:

Responsible for handling our companies’ procurement activities, such as, but not limited to, groceries for our CILA homes weekly, and Day Training Center as needed. Maintain the grounds, homes, and equipment in a safe and efficient manner, in accordance with established procedures, and as directed by the Chief Accounting Officer, insuring all supplies and additional needs are met, in regards to purchasing of goods etc. Provide an abuse/neglect free environment for all persons served. Support the agency’s vision, mission and core values.

Duties & Responsibilities:

Review &submit purchase orders in a timely manner, for all goods, company supplies etc., and manage the process from beginning to end, to successful completion.

Must implement good sourcing procedures, being mindful of better products, better pricing, diet restrictions, etc. Keep up with procurement trends, and stay current with purchasing technology.

♦ Travel to vendor/supplier locations if needed.

Ensure that the necessary equipment and supplies are maintained to perform the dietary, janitorial, maintenance, supply, and transportation tasks. Replace equipment and supplies as necessary.

Havethe ability to learn and be aware of the dietary needs of our persons served, to ensure that proper calorie count, allergy restrictions, diet restrictions are being monitored and maintained accurately, while purchasing goods/groceries for our CILA homes/Day Training Center.

Ensure that all procured items meet the required quality standards and specifications, paying close attention to expired goods. Respectfully disputing unacceptable goods and or supplies as needed with vendors, suppliers etc. Responsible for following up about disputes, ensuring accuracy, and completion of the dispute. All outcomes should be positive.

Submit a report to the Quality Assurance associate, which includes the condition and replacement needs of furnishings, appliances, equipment, or other items, needed for the CILA homes, grounds, or at the Day Training Center. This report should be completed monthly.

Prepare cost estimates and managing budgets, this should be shared with the Chief Accounting Officer on a regular basis, and as needed.

Work to improve purchasing systems and processes. Regularly research and evaluate vendors to compare pricing and services.

Coordinating with internal teams regarding their supply needs, while building a personal rapport with all fellow co-workers.

♦ Manage daily purchasing activities and complete weekly purchasing needs of groceries for our CILA homes, including the Day Training Center as needed.

♦ Follow up with the Facility Manager about scheduled repairs, insuring that no additional goods/supplies are needed, and that each repair has been successfully and accurately completed. Once completed, Quality Assurance should also be made aware.

♦ Maintain the supplier database, purchase records, purchases received, and related documentation, and implement a well working strategy to successfully organize this process.

♦ Responsible for coordinating inventory control, determine and manage inventory needs. Oversee replenishment needs for maintenance supplies, and other company supplies as needed. Maintain stock, and manage when low.

♦ Maintain general grounds and homes in good repair, ensuring a safe, clean and orderly environment, this should be done on a regular occurring basis, working hand in hand with the Facility Manager.

♦ Manage supplier relations and negotiating contracts, prices, timelines, etc., while maintaining positive relationships with suppliers. Meet with vendors periodically to discuss product usage and new products on the market.

♦ Complete walk through and visual observation of service locations, storage areas, agency vehicles, and other agency property on a rotating schedule, insuring that purchasing needs are up to date, and sufficient.

♦ Develop and implement purchasing strategies, always looking for the best deal. Evaluate vendors based on quality, timeliness, and price.

♦ Schedule deliveries and ensure timely fulfillment of orders.

♦ Report all incidents and accidents, no matter how minor, to the Chief Accounting Officer.

♦ Report all unsafe hazardous conditions or malfunctioning equipment to the Facility Manager immediately and or the Chief Accounting Officer.

♦ Ensure that the rights and confidentiality of the persons served are protected at all times.

♦ Participate in evacuation and emergency response procedures to ensure the safety of the persons served.

♦ Attend all in-services, training sessions, and department meetings as required. Be knowledgeable and thoroughly adhere to and implement all policies and procedures.

♦ Other duties as assigned by the Facility Manager or Executive Team.

Educational Requirements:

High school diploma or equivalent required.

Bachelor’s Degree in supply chain management, logistics, or business administration preferred.

Special Requirements:

• No disqualifying criminal history

• At least 18 years of age

• Valid Illinois driver’s license, and the ability to maintain a good driving record

• Ability to lift 50 lbs

• Purchasing and or sourcing experience preferred.

• Deep knowledge of inventory and supply chain management.

• Proficiency in Microsoft Office, and or purchasing software, tech saavy.

• Excellent communication skills, both written and verbal.

• Strong critical thinking and negotiation skills.

• Strong planning and organizational skills

• Ability to work independently, as well as on a team setting.

Van, automobile, copier, telephone, cell, fax, and computer.
