Avalon Housing is a non-profit supportive housing provider. Supportive housing is a combination of affordable housing (that we build) paired with services, like case management. We don't just help people find housing. Our property managers and support coordinators help people stay in their homes. This is not easy work, but as one of our tenants says: "Avalon will get in the trenches with you."

The Operations Specialist provides essential support to various teams and functions within the organization in the areas of information systems, technology, operations and administration. The ideal candidate has excellent organizational and communication skills, a commitment to lifelong learning, and a desire to serve others.

Paid Time Off Paid time off includes three weeks of vacation time plus additional sick and personal time allowances. There is also an extra paid holiday every month!

Medical Full-time employees can choose from three different medical insurance plans with dental, vision, and prescription coverage, including an option with no per-payroll premium contribution, even for families! Your personal annual deductible is capped at $1,000.

Life and Disability Plans All staff working more than 16 hours per week are given Life insurance and Short- and Long-Term Disability plans, with Avalon covering the premium cost.

403(b) Retirement Plan

Avalon sponsors a 403(b) retirement plan through Vanguard, available to all employees.

Core Functions and Responsibilities include: Operations and Administrative Support

  • Be the courteous, helpful and professional face of Avalon, greeting guests to the building and triaging phone calls at front desk
  • Receive, sort, and distribute mail and other deliveries
  • Assist teams with data entry, such as rent, work orders, and credit card tracking
  • Maintain electronic calendars for conference room use
  • Engage, onboard, and provide ongoing support for staff and volunteers participating in the front desk team
  • Assist with project implementation, including research; support with report preparation; signature acquisition; and property visits, including meeting vendors, on occasion
  • Act as a Notary Public
  • Assist with administrative duties, including staff event setup, office furnishing, supply orders, coordination of fire drills

Office Support

  • Procure work phones and computers for new staff
  • Receive and triage support requests from staff
  • Support the roll-out of new systems and software
  • Test and evaluate new technology
  • Administer cyber security awareness training
  • Assist with the maintenance of organization's digital document system (Google Shared Drive)
  • Maintain technology across Avalon sites to ensure high quality
  • Support Google Workspace admin function, monitor Gmail accounts, Calendar, Groups, Shared Drive
  • Assist in designing and implementing ways to effectively capture data for evaluation and outcome reporting

Desired Qualifications & Experience

  • Minimum of one year of broad customer service experience, preferably related to administrative support
  • Minimum of one year of relevant experience working in a dynamic, fast-paced office environment
  • Strong working knowledge of applications and software such as Google Workspace, MS Office, Slack, DocuSign, Zoom, etc.
  • Experience in staff training or teaching

Status: Full-time, Salaried Exempt

Starting Salary: $42,000 annually

Schedule: 9:00am to 5:00pm, Monday through Friday, in-office
