Aleknagik Technology, LLC is seeking an Administrative Specialist Duties: Perform various clerical and administrative duties. • Perform various clerical and administrative duties. Screen telephone calls, visitors, and incoming correspondence for Information Management Department (MID) • Respond to requests for information concerning MID/NHJ procedures; determine which requests should be handled by MID Government POC’s appropriate system administrators, other offices/departments. • Prepare and route various types of internal office correspondence, review equipment packages and other incoming correspondence to determine proper internal routing. • Schedule meetings. Make arrangements and secure space for meetings and conferences and assemble background material or materials needed for meetings as directed. • Attend meetings for the purpose of documenting and distributing meeting minutes, running slideshows, or other administrative functions as needed by MID leadership. • Anticipate and prepare materials needed for conference correspondence, appointments, meetings, telephone calls, etc. • Files and organizes various documents per DoD records management rules and disposition schedule. • Reviews outgoing correspondence checking for spelling errors, grammatical errors, and ensuring proper formatting. Routes ongoing correspondence through the proper offices/departments. • Reviews monthly documents and makes necessary changes and sends out new copies to all internal MID staff on the first business day of each month. • Prepares and disseminates a wide variety of reoccurring correspondence and reports. • Maintain conference room calendars, reviewing and approving requests to utilize the rooms. • Create and maintain a wide variety of administrative databases, spreadsheets, briefings and forms. • Tracks monthly/annual training requirements and information to personnel, track timely completion of requirements and report back to SEAT. • Ensures that training certificates and other appropriate documents are filed correctly. • Prepares a log of all correspondence received to include date received, subject, routing information and completion of the correspondence. • Prints weekly conference room calendar for CIO and all MID leadership. • Training records shall be filed and stored in an authorized compartment and secured at the end of each day. • NLT the 15th of each month provides a training report to the CIO DCIO and MID Supervisors of all outstanding training. Qualifications: Two (2) years of experience with: • DoD Records Management and filing experience • Tracking DoD training programs and ensuring timely completion of training • Preparing, reviewing, and editing various written types of correspondence. • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) 2010 and newer versions • Managing calendars and scheduling meetings for numerous people. • Using printers, MFDs, scanners, fax machines and other common office peripherals • Knowledge and experience with Adobe/Adobe Pro • Knowledge of proper grammar, spelling, punctuation and required format sufficient to recognize and correct errors on outgoing correspondence, reports, and presentations. • Current Public Trust Background Investigation
