Description

Responsible for professionally greeting and assisting clients, providing exceptional customer service and managing the responsibilities of the AHS Veterinary Hospital front office.

  • Serve as first point of contact for veterinary hospital, professionally greeting all clients
  • Address walk-in appointments, over-the-counter sales and walk-in inquiries
  • Offer clients educational information and coordinate for special needs clients
  • Manage lobby wait times and coordinate walk-in availability
  • Answer all incoming calls
  • Return voicemails and select email inquiries
  • Conduct reminder calls and schedule upcoming appointments
  • Coordinate surgery and drop-off, check-in and check-out with inpatient technician
  • Enter appropriate information in Pet Point database when pets adopted from AHS are seen in clinic
  • File and maintain patient medical records, ensuring that required documentation is accounted for; scan documentation into patient file
  • Process client payments according to established protocol and apply charges to patient account in Cornerstone software
  • Collect funds and processes credit card payments
  • Process end-of-day paperwork and financial reconciliation
  • Deposit daily cash drawer
  • Maintain lobby and front desk cleanliness
  • Report special food orders for approval from Hospital Manager
  • Maintain front desk supplies and requests for appropriate cash change
  • Provide general support as needed for medical staff and management
  • Other clerical duties as assigned

Qualifications


  • High School Diploma or GED
  • Minimum of one to three years veterinary practice experience
  • Excellent phone etiquette
  • Excellent verbal and written communication skills
  • Excellent interpersonal communication skills
  • Customer Service driven
  • Strong organizational skills and attention to detail
  • Ability to work independently with minimal supervision
  • Ability to multi-task and prioritize
  • Proficiency with Microsoft Office Suite
  • Cornerstone and/or Pet Point software experience preferred
  • Performs work in an office setting
  • Potentially subject to animal bites and scratches
  • Frequent walking, standing, bending and stooping
  • Must be able to lift, push and pull up to 50lbs, with reasonable accommodations
