Description

Asphalt Green is looking to hire a Purchasing Coordinator with a minimum of 3 years of experience. This is a unique opportunity to use sourcing and tracking skills within an organization focused on sports and fitness. The role supports our two campuses located on the Upper East Side and in Lower Manhattan at Battery Park City. The job is situated on the Upper East Side (1750 York Avenue at East 91st St.). We have 400 employees (coaches, trainers, program managers, etc.) and 4500 members, like any health club. There will be frequent interaction with departments that run programs offering soccer, swim school and swim team, basketball, flag football, martial arts and baseball, mostly for kids and members who use the pools and fitness center. The Purchasing Coordinator orders uniforms and sports equipment, business tools along with the industrial materials necessary to run our facilities and keep them clean. Responsibilities include but are not limited to the following:

  • Organize and place orders using Service Desk and Great Plains software for tracking. Ultimately, work to simplify the process for ease of ordering, confirming user permissions, checking invoices and reporting.
  • Communicate with current vendors and identify new ones. Obtain proposals and negotiate the best possible prices.
  • Provide strong internal customer service to ensure that end users get exactly what they need at the right time (we run on a semester basis like a college. Orders must be properly timed). Maintain constant communication ensuring happy customers.
  • Authorize and code invoices to allocate to appropriate budgets.
  • Code invoices for processing by Accounts Payable.
  • Train new program staff on how to create initial PO’s, search old PO’s, and code, on an as needed basis.
  • Maintain order receipts and reconcile monthly purchasing credit card statement.
  • Interface with FedEx or USPS, creating the shipping labels and scheduling pickups. Handle returns.
  • Analyze spending by departments and operational expenses ensuring that departments do not go over budget.
  • Use Salesforce to monitor inventory of member related items sold at our Front Desks (goggles, caps, diapers and locker locks, ordering as needed to ensure an adequate supply. Maintain a record of sales tax collected and file yearly sales tax reports
  • On a monthly basis, process incoming revenue from various AG businesses into Salesforce /Traction On Demand). Log checks, credit card #’s, and wires that come in and allocate them appropriately into Salesforce.

Qualifications


Knowledge of Service Desk, Great Plains and Salesforce required along with strong computer skills including Excel and Microsoft Office 365.
