Job Summary

The Administrative Assistant for Lake Point Recovery and Wellness performs daily administrative and clerical duties to support the management team at Lake Point Recovery and Wellness. The Administrative Assistant is responsible for screening and answering calls using a multi-line phone system, sorting and delivering incoming and outgoing mail, and data entry. The incumbent must be computer savvy with strong organizational, flexibility, interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters is required.

Essential Duties and Responsibilities

  • Front desk reception; answer a multi-line phone system; greet and direct visitors, maintain front desk security, and manage sensitive information;
  • Schedule appointments and manage calendars for Lake Point Recovery and Wellness management team.
  • Schedule, coordinate, and record minutes for all Lake Point Recovery and Wellness meetings.
  • Support meeting setups and events; works with LPRW management in all meeting agendas, setup, update meeting calendars, room rosters, etc. as needed;
  • Prepare internal and external communications, such as emails, memo’s, reports, etc.… for Lake Point Recovery and Wellness.
  • Provides program information to customers, clients, potential employees, etc.
  • Serves as a back up to various administrative positions
  • Acts as a liaison with other agency departments, and outside agencies; serves as the go between for communicating new procedures amongst departments; ensues communication is effective from the top to the bottom;
  • Maintain cleaning and cosmetic upkeep of Lake Point Recovery and Wellness Admissions building;
  • Retrieves, sorts, and delivers mail to the appropriate ARVAC Lake Point Recovery and Wellness departments;
  • Screens phone calls and properly takes messages for the office staff; or ascertains the nature of the business, and personally handles the request;
  • Assists with filing, entering, or sorting of documents as they pertain to Lake Point Recovery and Wellness;
  • Handles confidential information and non-routine information and explains policies when necessary;
  • Assist with calling potential new clients to remind of appointment times;
  • Assist the admissions team with intakes when necessary.
  • Schedule follow up calls with clients who have completed the Lake Point Recovery and Wellness program.
  • Assist with client transportation as needed;
  • Utilize good judgment and work independently while recognizing the importance of working within established procedures and departmental requirements;
  • Adheres to guidelines of Confidentiality and privacy
  • Adheres to the ARVAC staff handbooks
  • Performs duties as assigned

Controls Over the Position

The Administrative Assistant will work directly under and report to the Director of Administration and Lake Point Recovery and Wellness. Once assignments are given, the incumbent is expected to carry them out with punctuality and a minimum amount of supervision. Effectiveness is evaluated on the basis of timeliness, quantity, and quality of work performed.

Qualification Standards

Education High school diploma or its equivalency is required; Associates degree in business office is a plus

Experience 2 years’ experience in an administrative role

Requirements Must hold a valid driver’s license and have reliable transportation to commute to and from work and to other agencies within the area

Position requires close work; finger dexterity; good vision, hearing, oral communication and critical thinking on a regular basis. May occasionally work longer than 8 hours/day.

Indoors, at a desk or in a vehicle for majority of the day Travel for Transport required Maximum hours per shift are noted.
