Sample Coordinator

Artful Home is looking for a team player, who appreciates what we do and believes in our Guiding Principles, to join our team in Madison, WI. The successful candidate will be responsible for the order, receipt, organization and return of samples to ensure a timely, organized, and efficient seasonal production cycle by performing duties to include:

• Focuses on Artful Home's Vision and Guiding Principles. Considers the best interest of Artful Home and its team members, artists, and customers, while performing job duties.
• Contributes to an environment in which all team members are respected and included regardless of their individual differences and feel motivated to improve individual and work area contributions to achieve desired business results.
• Responsible for ownership of the sample management process and systems from beginning to end.
• Acts as a liaison between merchandising, creative, warehouse, artists and designers related to sample management.
• Communicates internally and externally by placing sample orders in the Sample Management system, following up with artists on order status, establishing priorities, troubleshooting, and finding solutions.
• Receives, labels, and organizes inbound sample orders. Coordinates with merchandising, artists, and designers to resolve any discrepancies between orders and receipts.
• Maintains, organizes, and manages on hand sample inventory. Organizes the sample room for apparel/jewelry, art/décor, and ornaments. Works with space planning to determine needs.
• Responsible for timely sample returns, from initiation of return to ensuring delivery to artists and designers.
• Completes the annual sample inventory, accounting for and adjusting any discrepancies.
• Partners with warehouse team as needed to unpack inbound orders and pack and ship returns.
• Sets-up and organizes samples for review for seasonal milestones, assortment planning, seasonal kickoff, line reviews, color shows, product training, and in-house photography.
• Partners with the Digital Asset Coordinator to prepare for photoshoots. Using the provided shot list, prepares and packs samples for photoshoots. Receives, unpacks, and organizes samples returned from the photoshoot.
• Creates swatch cards for color shows and catalog. Organizes/labels swatches for in-house photography.
• Creates and maintains a sample/swatch library and archive for apparel and art/décor.
• Assists with coordinating and attends photoshoots.
• Hybrid - May work remotely but requires the ability and flexibility to work in the office (onsite) in Madison as needed and upon request.

The successful candidate will possess the following:

• Associate or bachelor's degree or equivalent experience in business administration, business merchandising, or a similar field is required.
• Two (2) years of related experience, particularly exposure to a retail environment is preferred.
• Demonstrates professionalism, maintains confidentiality in organizational matters, and always positively represents Artful Home.
• Demonstrates initiative, passion, enthusiasm, self-motivation, and a strong sense of ownership and accountability.
• Demonstrates strong interpersonal, organizational, collaboration, and communication skills to include writing, listening and giving and receiving feedback.
• Ability to make responsible decisions, use good judgement and problem solve to include identifying and defining problems, establishing facts, and drawing valid conclusions.
• Ability to read and comprehend instructions, correspondence, and emails. Ability to write various documents and emails proficiently and professionally.
• Ability to effectively present information in one-on-one and small group situations.
• Math skills to include adding, subtracting, multiplying, and dividing using whole numbers and decimals.
• Ability to quickly adapt to, and work in, a fast-paced environment with a service driven mindset.
• Ability to effectively deal with stressful, high-pressure situations and calmly deal with the issues that arise.
• Ability to maintain attention to detail and drive to ensure accuracy.
• Demonstrates the ability to work independently.
• Demonstrates strong computer skills and a solid knowledge of and experience with core operating systems, Microsoft products to include Word, Excel, PowerPoint, and other software programs.
• Ability to quickly learn and use software and application tools; and motivation to engage in ongoing and in-depth learning.
