Description of Position:
The Program Assistant (PA) is a member of the ACT administrative team that supports compassionate care and assistance to persons who struggle with intellectual, developmental, and behavioral health challenges and require assistance to achieve their fullest potential. The PA provides the assistance necessary to allow the staff to effectively assist clients to live independently and ensure their wellness, health, and safety. The PA, in collaboration with the ACT and Connections administrative teams, provides a wide range of administrative support. The PA embraces the mission of the organization by fostering a culture of compassion, hope, service, and collaboration.
Education and Experience:
  • High School Diploma or GED.

Professional Credentials/Certifications:
  • N/A
Position Requirements:
  • Certification in First Aid and CPR.
  • Valid driver’s license in good standing with at least 3 years minimum continuous driving experience with no serious traffic infractions.
  • Must receive and maintain a satisfactory criminal background investigation report.
  • MANDT training completed.

Responsibilities:
  • Composes and distributes electronic meeting notes and reports for routine correspondence, including weekly Team Meetings.
  • Assists with office tasks such as faxing, scanning, filing, copying, maintenance of spreadsheets, database management, and upload of documents into the electronic health record.
  • Organizes and maintains electronic filing systems for client health records, correspondence, and other material to ensure efficient retrieval.
  • Assists with the tracking of staff candidates in the HR Information System making sure candidates are categorized appropriately.
  • Monitors Occurrence Reporting Processes.
  • Coordinates and communicates representative payee info, check requests, credit card statements, bills, and payments to the finance department.
  • Maintains and submits petty cash receipts as needed.
  • Monitors assigned staff success training to ensure staff is completing activities in a timely manner.
  • Coordinates vehicle usage and communicates with fleet manager to maintain upkeep and cleanliness of vehicles.
  • Greets visitors and callers, handles inquiries, and directs guests to the appropriate individuals.
  • Responds to requests for information in a professional, courteous, and efficient manner.
  • Submits maintenance and IT requests as needed.
  • Ensures adequate office supplies and maintenance of printer/scanner inclusive of toner orders.
  • Maintains client intake information, referral, and EEU coordination for tracking and monitoring for CRISP to meet required reporting guidelines in the electronic health record.
  • Participates in orienting new staff to team procedures and protocol; access to request forms, printer/scanner use, and fleet vehicle.
  • Completes Annual Consumer Reporting Forms in the electronic health record.
  • Enters client information into electronic health record entry for newly referred/admitted consumers.
