About the Role
We are looking for a master multi-tasker with an upbeat attitude. The Office Administrator will be the Director of First Impressions” as they greet visitors and applicants, providing polite and professional assistance in person as well as via phone and e-mail. They will be part of the Human Resources team. A successful Office Administrator should be attentive while also being accurate, generally being a helpful and positive presence in the workplace. They should always
be prepared, responsive and willing to meet each challenge directly. The Office Administrator must be comfortable with computers, general office tasks, and excel at both verbal and written communication.

Essential Functions


    • Answers and transfers phone calls, screening when necessary.
    • Welcomes and directs visitors, applicants and clients.
    • Maintains filing systems as needed
    • Retrieves information as requested from records, email, and other related documents; prepares written summaries or reports of data when needed
    • Responds to and resolves inquiries and questions
    • Coordinates and schedules meetings and appointments for managers or supervisors
    • Maintains office supplies inventory and coordinates maintenance of office equipment.
    • Assists with preparation of human resources functions such as incoming applications and scheduled interviews
    • Assist with creation of notices, flyers or other signage as needed
    • Performs other related duties as assigned


    Competencies

    • Excellent verbal and written communication skills.
    • Excellent interpersonal and customer service skills.
    • Proficient in Microsoft Office Suite products Word, Excel and PowerPoint.
    • Excellent organizational skills and attention to detail.
    • Basic understanding of clerical procedures and systems such as record-keeping and filing.
    • Ability to work independently.
    • Strong customer service focus
    • Bilingual, Spanish highly preferred


    Preferred Education and Experience

    • Associates or bachelor’s degree in office administration, Human Resources or related field preferred.
    • Three to five years of experience in an administrative role.
