Anastasia Beverly Hills is Hiring a Personal Assistant Near Los Angeles, CA

We are seeking for a versatile and highly organized personal assistant to perform personalized administrative duties for the Chief Executive Officer. In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence. You may also be required to assist with other duties when needed.

To ensure success as a personal assistant, you should exhibit excellent organizational skills and demonstrable professional experience. Accomplished personal assistants should be intuitive and work autonomously to provide customized administrative support.

Essential Job Functions

  • Provides administrative support to CEO.
  • Responsible for proactively managing and coordinating daily schedules/calendar, contacts, travel arrangements, meetings (internal and external), and public appearances.
  • Determines the importance of meeting requests and schedules accordingly.
  • Demonstrates flexibility and patience in handling multiple tasks. 
  • Arranges travel and all accommodations, including comprehensive and detailed itineraries, preparing the CEO for special events, social media go-live events, and public appearances.
  • Prepares travel and expense reports.
  • Works with external vendors and consultants on projects.
  • Responds to internal and external inquiries and keep a record of call/email responses and inquiries with diplomacy.
  • Coordinates and prepares meeting materials, presentations, agendas, notes, spreadsheets, and PowerPoint handouts and disseminates video equipment as necessary.
  • Responsible for handling confidential and sensitive information.
  • Provides clerical support, including filing, copying, and scanning.
  • Assists with special projects and performs other related duties as assigned.

Requirements

  • At least 5 years of experience in a similar role in a medium-sized, fast-paced company.
  • Bachelor's degree is preferred in Public Relations or similar degree.
  • Must have a strong sense of ownership and accountability.
  • Must have a solid ability to problem solve, think creatively as new projects and challenges arise.
  • High-energy, entrepreneurial spirit, self-motivated person who is upbeat and very approachable.
  • Must have excellent attention to detail and superior organizational skills.
  • Excellent verbal and written communication skills.
  • Must be able to handle a fast-paced environment, multitask and work well with confidential matters.
  • Must have experience with social media platforms and technology.
  • Ability to work and follow up on action items cross-functionally within various departments.
  • Excellent Microsoft Office skills and Outlook required.
  • Able to travel if required.
  • Must be able to work on-site.
