Summary:The Client Service Coordinator (CSC) supports one or more Financial Advisors in one or more office locations. This position utilizes the client relationship model and turnkey tools available to assist the Advisor in servicing clients. The goal of the CSC is to assist in achieving the company’s long-range vision through the delivery of the client service model and processes which keeps the Advisor in front of clients, delivers a consistent, repeatable and reliable client experience that exceeds their expectation and results in a deeper client experience. Create a positive client experience every time the client contacts or visits the office. Key Responsibilities: Maintain a welcoming office environment to clients and prospectsSchedule, track and follow up with appointments and referralsCommunicate with clients professionally and courteouslyAnswers phones quickly and professionally, and directs calls appropriatelyProvide administrative support to team members by scanning and maintaining files and records in accordance with the records retention policyMaintain and document client contact in client management systemFollow compliance guidelines when working with clients and prospectsProcess mail in and out and maintain our mail and check log in accordance with compliance regulationsScan Checks – Primary or Backup depending on location, if applicable at current officeHigh regard for ComplianceSupply ordering and sourcingFull knowledge and support of team phone systemStay up to date on phone system updates and communicate with the teamProvide assistance to our Marketing and Business Development Manager with implementation of our Client ExperienceOther duties as assigned Qualifications/Skills:Polite and clear phone mannerDirect attention to detail and organizationPositive attitude and a sincere willingness to learn and growAbility to multi-taskDemonstrated ability to work effectively with team members.Effective and efficient time managementStrong organizational and computer skillsMust exercise discretion in dealing with the personal information of clients Education, Experience, and Licensing:Two years’ related experience and/or training; or equivalent combination of education and experience. Continuing education – Lifelong learning is expected. Physical Demands: This position requires the ability to handle significant levels of varied stresses, in particular mental stresses and fatigues. This position operates in a fast paced, highly regulated and ever-changing environment. There are no significant physical demands other than the endurance required to deal with the fast pace and stresses. Work Environment:The work environment is typical office work such as you would find in a bank, insurance business, accounting firm, law firm or other professional office. There are no unusual or significant hazards and reasonable accommodations can usually be made.
