POSITION: Director of Finance and Operations

STATUS: Full-Time, Exempt

REPORTS TO: Executive Director

SUPERVISES: Coordinator for Administrative Support

LOCATION: Chicago, Illinois

ORGANIZATIONAL BACKGROUND

The mission of the American Association of Law Libraries (AALL) is to advocate for access to legal information and support the legal information profession by cultivating the growth of our members, connecting them with each other, and championing the value of legal information and legal information professionals. AALL represents about 4,000 members and has a $4 million annual budget. More info is available at www.aallnet.org.

POSITION SUMMARY

AALL’s Director of Finance and Operations oversees the Finance, Operations and Human Resources functions of the association. Working closely with the Executive Director, this position’s responsibilities include ensuring compliance with state and federal laws pertaining to nonprofit organizations, directing and managing financial, accounting and human resource systems to support the association’s strategic goals. The person in this position will be involved in strategic planning, and working with AALL entities such as Committees and Special Interest Sections.

DUTIES AND RESPONSIBILITIES

Finance

  • Prepares monthly financial statements, bank reconciliations and investment reports for Executive Director and Board’s review in an accurate, and timely manner.
  • Oversees and leads annual budgeting and planning process in conjunction with the Executive Director; administers and reviews all financial plans and budgets; monitors progress and changes; and keeps the Executive Director and Executive Board abreast of the organization’s financial status.
  • Ensures the adequacy of accounting practices and policies, the handling of funds, internal controls, and reporting standards.
  • Updates and implements all necessary business policies and accounting practices; improves the finance department’s overall policy and procedure.
  • Monitors endowed investment accounts, Permanent Investment Fund, and short-term cash management account.
  • Coordinates and oversees the annual audit, including preparation of various supporting schedules and supporting data as required by the outside auditors.
  • Effectively communicates and presents critical financial matters to the Executive Director and to the Finance and Budget Committee.
  • Perform other duties as assigned.

Human Resources and Operations

  • Oversees employees’ payroll and benefits programs including group insurance, retirement plan, and transit program and other benefits.
  • In conjunction with Executive Director, review and update employee handbook; ensure compliance with state and federal employment laws.
  • Maintains personnel files as required by law.
  • Further develops the Association’s human resources and operations enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting, as approved by the Executive Director.
  • Responsible for office and equipment leases, contracts with vendors.
  • Support internal communications and coordination of operations tasks.
  • Perform other duties as assigned.

RELATIONSHIPS

  • Serves as staff liaison to AALL committees and other AALL entities as assigned.
  • Supervises the Coordinator for Administrative Support who conducts day to day bookkeeping, including AR/AP
  • Work collaboratively with AALL members, vendors, AALL staff and others as needed.

QUALIFICATIONS AND REQUIREMENTS

  • Bachelor's degree or higher in Accounting, Finance, Business, or related field; CPA preferred.
  • Solid knowledge of non-profit, professional organizations.
  • 7 to 10 years of overall professional experience; ideally working across finance, audit, operations, and human resources.
  • Staff management/supervisory experience.
  • Demonstrated expertise managing organizational financial activity and systems, including budgeting, multi-year forecasting, accounting, cash flow, and reporting.
  • High level of proficiency in accounting and reporting software, including Financial Edge, Microsoft Office (Outlook, Excel, Word).
  • Personal qualities of integrity, credibility, and commitment to AALL’s mission and vision.
  • Experience with human resources administration.
