Responsibilities

Job Summary

The Practice Manager is responsible for providing comprehensive operational leadership for the five AdCare Hospitals Outpatient locations. The Practice Manager must possess an administrative, fiscal, and business acumen with a thorough understanding of Revenue Cycle Management. The Practice Manager will lead by example and effectively communicate with staff, constituents, and patients, while ensuring outstanding customer service and attention to operational excellence. The Practice Manager is responsible for regulatory, policy and budget compliance, adherence to key performance indicators and revenue targets.

Duties and Responsibilities

  • Ensures appropriate staffing from recruitment, onboarding/orientation, coaching performance, competency assessments, training, and retention (minimizes turnover).
  • Oversees and monitors performance of front-end Revenue Cycle functions (i.e. insurance verification and eligibility of benefits, registration, co-pay collection and charge entry) to ensure compliance with sound accounting practices.
  • The ability to “think outside the box” to reduce no-shows, increase patient engagement and cash collections.
  • Maintains a strong working knowledge of medical and behavioral health electronic medical records, accounting, and scheduling software. Works at a proficient level with e-mail systems, spreadsheets, and word documents.
  • Performs management and supervisory responsibilities in accordance with the company's policies and procedures as well as applicable state and/or federal laws. Works closely with OP Directors to assist in any operational or personnel issues.
  • Actively participates and measure all hospital inpatient transitions to outpatient.
  • Liaison between the front end and clinical staff, Senior Management, and all other departments/divisions of the organization.
  • Ensures regulatory compliance to include credentialing of professional/licensed staff, compliance with Medicare. Medicaid and Commercial payer regulations.
  • Ensure administrative compliance with AdCare Hospital Policy and Procedures and licensing and regulatory standards from Mass DPH and Joint Commission. and other relevant standards.
  • Ensures and assists with the collection of co-pays and deductibles.
  • Inspires confidence in others & influences staff positively by modeling positive “can-do” attitude.
  • Serves on AdCare Committees as assigned.
  • Treats patients, and colleagues with dignity and respect; honors each person’s right to privacy/ maintains very strict patient and colleague confidentiality; respects all individual differences; supports cultural diversity.
  • Notifies the Executive Director of Outpatient Service for time out of the facility and how and who will be covering for absences.
  • Other Job Duties – As Assigned

Qualifications

Education / Experience:

  • Bachelors required, Master’s Degree in Business or related field preferred or a minimum of ten (10) years experience in healthcare management.
  • Knowledge of substance use disorder treatment, office based opioid treatment and/or opioid treatment program preferred.
  • Must have a minimum of 3 years’ experience in SUD/Mental Health, fiscal management, and business/revenue development.
  • Must be a skilled at managing budgets and other fiduciary responsibilities related to program oversight.
  • Demonstrates flexibility to adapt to changes and provide positive directions to direct reports.
  • Must be able to meet deadlines and work under pressure in a complex and changing environment.
  • Must be able to work collaboratively with other divisions, departments, and service lines to support the overall mission of AdCare Hospital.
  • Valid driver license and insurable driving record (refer to Guidelines for Driving Company Vehicles) 
  • Ability to read and interpret written information; write clearly and informatively; edits work for spelling and grammar. Ability to speak clearly and persuasively in positive or negative situations; listens and gets clarification; responds well to questions; demonstrates group presentation skills; and participates in meetings.
  • Working knowledge of Microsoft Word, Excel, and Outlook. 
  • Nonviolent Crisis Intervention Training within 60 days of hire 
  • American Heart Association Basic Life Support within 60 days of hire
  • Excellent interpersonal communication skills
  • Excellent Customer Service skills
  • Business development, analytical skills, detail oriented, able to work in a fast-paced environment, able to motivate and communicate with staff
  • Ability to forecast business needs, prepares, and submits well planned strategic plans.
  • Exemplifies strong Leadership skills
