AIMS Center for Math and Science Education is Hiring a Program Assistant Near Fresno, CA

JOB DESCRIPTION

Job Title: Program Assistant

Reports to: Project Manager

Classification: Hourly Full-Time (Non-Exempt)

AIMS is a non-profit organization that supports playful, imaginative, creative, human-centered, and socially-informed approaches to teaching and learning mathematics and science, and policies and practices that are culturally-relevant and transformative for our Central Valley. With over 30 years of experience in PK-12 STEAM education, AIMS helps educators design rich and engaging learning environments, provides resources to communities and families, and bridges research and practice with colloquium events and research fellowships.

Position Summary

AIMS seeks a highly organized and motivated individual to support the planning, preparation, and delivery of educational services across a variety of projects and partnerships. The Program Assistant will prepare and organize materials, supplies, equipment, and events for a variety of AIMS educational programs according to instructions from educational staff and the Project Manager.

Duties & Responsibilities

The essential functions (i.e., the fundamental job duties of the position) are as follows:

  • Provides excellent support to AIMS educational staff and other employees across all programs
  • Works to identify materials needs and ensure they are met for a variety of events, workspaces, and ongoing projects
  • Assists with monitoring inventory of supplies, creating inventory checklists, using software programs and/or spreadsheets to track status of inventory
  • Maintains general organization and cleanliness of Maker Studio and work areas, including tasks such as doing laundry, washing dishes, and cleaning work areas
  • Manages the everyday use of the Maker Studio, including materials preparation and organizing storage areas
  • Runs errands such as buying groceries or café items, buying other supplies in-person
  • Assists with mentoring and coaching undergraduate student interns (Project Assistants)
  • Applies basic organizational and problem-solving skills, and works collaboratively with other AIMS staff, to help ensure programs run smoothly
  • Makes minor edits to documents as needed and supports the online digital organization of program documents and materials
  • Creates labels and templates using tools such as copy machines or Cricut cutting machines
  • Preps snacks, signs, catering, room set up, and material receiving and distributing for events and workshops
  • Provides reception support, receives deliveries, unlocks and locks exterior doors
  • Purchases postage and delivers mail to the post office when necessary

This job description is not intended to be all inclusive and the employee will also perform other reasonably related duties as assigned by the supervising manager or Executive Director.

Skills and Qualifications

The following qualifications are required for this position:

  • Careful attention to detail, and ability to carry out complex instructions quickly and accurately.
  • Organizational skills and inventory management skills.
  • Time management, and ability to manage multiple deadlines and priorities.
  • Skills in verbal and written communication in the English language, including active listening, collaboration, asking clarifying questions, offering ideas, giving clear instructions, and giving and receiving constructive feedback.
  • Experience and skills in managing, coaching, and/or mentoring, and the ability to foster and maintain a welcoming work environment.
  • Critical thinking and problem-solving.
  • Intermediate computer applications skills, including familiarity with Word, Excel, Google Drive, Google Docs/Sheets, as well as communication tools such as Slack, Monday.com, and Zoom.
  • Skills and experience in providing excellent customer service.
  • Physical ability to lift and move or carry heavy boxes (up to 50 lbs).

The ideal candidate for this position will also have:

  • Experience managing and preparing supplies for educational programs, particularly informal STEAM education programs.
  • Skills in verbal and written communication in English and Spanish.
  • College level math/science coursework, or equivalent math/science knowledge.

Physical Requirements & Work Environment

While performing the duties of this job, the employee is regularly required to stand, walk, sit; use hands for clerical duties and keyboarding. The employee is occasionally required to reach with hands and arms; stoop and kneel. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job includes close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. Acute hearing is necessary for telephone and in-person communication with callers and community members, and visual acuity sufficient to read a computer screen and paper documents.

This position typically functions indoors in an office environment with light to moderate noise associated with business office equipment. The position may involve travel for meetings and events. A valid driver’s license and DMV check for driving record is required.
