Affini-T is Hiring an Office Manager Near Watertown, MA

Position Summary

The Watertown Office Manager will be a key member of the Affini-T Therapeutics Technical Development Organization. This team member will support operations in discovery research, development of investigational cellular therapeutic drug substance and drug products at our Watertown headquarters. The Officer Manager will work closely with the Site Head and other key internal stakeholders of the company, including Business Operations, Facilities, IT, Technical Operations, Process & Analytical Development, Discovery Research, Finance, Legal, and Human Resources, as well as develop and sustain productive relationships with external vendors and contractors.

The Office Manager will be responsible for developing and maintaining the daily operational activities for the Watertown headquarters operations. An ideal candidate will not be afraid to roll up their sleeves and “get dirty”, as well as wear many hats and keep the office operations running smoothly and organized while acting as a cultural ambassador at a highly patient-and people-centric organization.

Essential Duties and Responsibilities

  • Implementing and maintaining procedures for administrative and business operations systems for the Watertown Site.
  • Work with Watertown site lead to create and maintain the operations budget for the site.
  • Work in conjunction with legal and stake holders to review and route vendor agreements for the purpose of purchasing equipment, materials, or services within the procurement system.
  • Maintaining office stock to determine inventory levels, anticipating requirements, placing, and expediting orders, verifying receipt, restocking, and delivering supplies to work areas as needed.
  • Maintain snack and beverage stocks in all break rooms, select conference rooms and coordinate onsite team lunches when requested.
  • Working in conjunction with HR, hiring managers, and Executive Administration in Seattle/Watertown, support and manage the onboarding process of new hires at the Watertown Site.
  • Partnering with Executive Administration and office management in Seattle to ensure alignment of core business practices between Seattle and Watertown sites.
  • Partner with HR to ensure learning and organization development objectives such as trainings, mentorship programs, workshops, etc. are delivered with the highest quality.
  • Manage the site master calendar and booking software for Watertown.
  • Support team members for companywide events, including coordinating with HR on creative social and volunteerism activities, 3rd party vendor service visits, compliance trainings, local optional trainings, and where necessary, equipment usage.
  • Managing the schedules for Watertown senior management and support Seattle senior management for ad hoc meetings and as it relates to site visits.
  • Coordinating logistics for site related visits from Executive Leadership, Investors, and Biopharmaceutical partners.
  • Receiving guests, vendors, and other visitors to the site and ensuring a pleasant and well-supervised visit.
  • Be trained on lab operations, as necessary, to be the back up to the sites Lab Manager.
  • Performs other related duties as assigned.

Qualifications

  • High School Diploma is required and Associates’ or Bachelor’s degree is preferred, and 5 years of related work experience.
  • Has a positive can-do attitude with a friendly approach to all challenges.
  • Adaptability and flexibility to adjust to a rapid-growth environment with changing priorities.
  • Preference given to candidates that have prior start-up Life Sciences or Biotech experience.
  • Excellent communication skills, both verbal and written, and the ability to interface effectively with cross functional teams. Diplomacy, and relationship-building competencies to effectively manage external vendors and contractors is required.
  • Scheduling and meeting planning experience including supporting senior level management.
  • Exquisite attention to detail and strong organizational skills.
  • Dependability and professionalism, including a high level of discretion to handle confidential matters.
  • Positive can-do attitude and strong personal alignment with Affini-T’s mission, vision, and core values, and willingness to learn new skills.
  • Creativity and enthusiasm for coordinating office-related, social events, onsite catering activities, and hosting visitors.
  • Should have a sound knowledge of Microsoft Office software suite, procurement systems, and inventory management systems.
  • First Aid/CPR training is a plus.
  • Willingness to learn and support EH&S procedures for building.

  • Sit or stand for extended periods of time (2 or more hours)
  • Occasionally lift or carry or move items up to 20 kg
