Job Summary

The Customer Service Support Representative provides customer service and resolves issues by offering solutions, explanations, options or by arranging for service.

General Accountabilities

  • Answers phone and checks voicemail daily, distributing the information to the appropriate party
  • Executing and properly handling all patient paperwork, order processing, billing, and merchant account payment
  • Correctly tracking and recording patient statuses on a monthly basis for accurate reporting and billing
  • Following all Sage 100 ERP System procedures
  • Correspond, assist, and support all company representatives, VA representatives, and patients when needed
  • Assists with accounts receivable and special projects, as necessary
  • Ensures full customer satisfaction without unnecessarily referring customer to other staff members. Maintains friendly, helpful demeanor.
  • Refers to appropriate person or department as needed, and/or arranges for service. Gathers data as necessary for related offices.
  • Tracks problem status until resolution is achieved.
  • Maintains close contact with customer to give updates on progress toward resolution of issue or service request.
  • Maintains quality/quantity standards.
  • Verifies contracts or forms for completeness and accuracy of information.
  • Updates and maintains all necessary records and/or logs.
  • Represents department to outside customers.
  • Ensures timely completion of department's work.
  • Compiles statistical reports as requested.
  • Performs other related duties as assigned or requested.
  • Receives, verifies, and updates orders from customers utilizing the company’s ERP system. Updates customer status and equipment location on a daily basis to ensure that records are accurate.
  • Utilizes the company’s software system to support the company’s sales reps in obtaining customer orders and provide any pertinent data to increase their efficiencies.
  • Notifies sales reps of incoming or potential orders.
  • Initiates contact with customers to correct any errors on orders.
  • Responds in a timely manner to all inquiries from customers, sales reps, and co-workers. Other tasks as deemed necessary for the position.
  • Performs other duties assigned.

Education and Experience

  • Minimum Education: High School or equivalent Combined experience/education as substitute for minimum education
  • Minimum Experience: 3 Year Combined education/experience as substitute for min. experience
  • Minimum Field-of-Expertise: Customer service
  • Preferred Education: Bachelor’s Degree
  • Preferred Experience: 3 Years
  • Preferred Field-of-Expertise: Customer service
