Overview

POSITION TITLE: Regional Coordinator

REPORTS TO: Regional Director

SUPERVISION EXERCISED: May serve as Supervisor for interns, serve as liaison between administrative and managerial staff as needed, and provide training on processes and software.

LOCATION: Chicago, IL

GRADE/Class: Grade C, Non-exempt, Non-Union.

PRIMARY FUNCTION:

To provide a broad range of administrative and project management support to the Regional Director and regional operations staff and programs.

Responsibilities

Primary:

  • Provide high level support to Midwest Regional Operations team, including program and event support, database management, administrative processing, scheduling, and communications. 
  • Provide support to the Regional Director, including scheduling, administrative processing, and communications.
  • Provide support in creating and posting digital media content, such as updates to the Regional web pages, e-newsletters, and other platforms as needed. 
  • Partner with Regional Director and appropriate team members to manage communications with members of the Regional Board and local leadership committees.
  • Coordinate and provide project management support for events, including registration management and on-site assistance. Provide technological support for events as needed.
  • Maintain Regional databases and contact lists to ensure that they are up to date and accurate. Assist with maintenance and accuracy of regional information in national ADL databases
  • Schedule and provide support for ongoing meetings, including Regional Board Meetings and committee meetings. 
  • May serve as a liaison between the Regional Office and ADL’s Central Division and national staff on matters of technology and administrative systems. 

Secondary:

  • Collaborate with regional office staff to provide support for special events and projects as needed. 
  • May serve as a point of communication for external contacts and stakeholders. 

Qualifications

Skills:

  • Strong computer skills (including Word, Excel, and PowerPoint), analytical and interpersonal skills. 
  • Will need to know and understand Salesforce and other online platforms.
  • Demonstrated ability to prioritize and multi-task to complete projects on deadline. 
  • Exceptional attention to detail. 
  • Familiarity with social media best practices and platforms including Twitter and Facebook. 
  • Strong customer service and communication skills. 
  • Strong team player.

Work Experience:

  • Two to four years of experience, with a minimum of one year experience providing administrative support in a fast-paced office environment required. 

Education:

  • Bachelor’s degree or equivalent combination of education and experience required.

Work Environment:

  • Flexibility to work evenings and weekends when necessary to represent ADL and to attend regional programs (3-5 times/year).
  • ADL COVID-19 Protocol (updated periodically): ADL is adhering to public health guidance regarding COVID-19. ADL will require that all employees are vaccinated with exceptions for medical and religious accommodations. ADL is requiring proof of vaccination. ADL is a hybrid environment; this role may require 3 days in the office.

Compensation:

  • This position has a salary range of $42,000 to $51,000. This salary range is reflective of a position based in Chicago, IL. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
