Overview

POSITION TITLE: Regional Coordinator

REPORTS TO: Divisional VP/Regional Director

SUPERVISION EXERCISED: May serve as Supervisor for interns, serve as liaison between administrative and managerial staff as needed, and provide training on processes and software.

LOCATION: Boston, MA

Grade/Class: Grade C, Non-Exempt, Non-Union

PRIMARY FUNCTION:

To provide a broad range of administrative and project management support to the regional office staff, programs, incident response, legislative, communications and fundraising activities. 

Responsibilities

Primary:

  • Serve as a point contact for the community for general inquiries, hate incidents, information, materials, requests, and resources and track and coordinate responses. Coordinate community outreach and maintain database of community and legislative relationships.
  • Manage ordering and distribution of materials needed for the region’s regional programming and community outreach.
  • Manage and maintain databases and calendars, scheduling for Regional Director, regional programs and events, including board and community-based programs.
  • Support and contribute to a variety of events and programs, including Glass Leadership Institute, Youth Congress, The Good Fight, Law and Education Day and other regional community-based events or meetings, as needed.
  • Create marketing materials and conduct outreach in support of the Region’s educational and community programs and activities, including social media posts, website updates, newsletters, advocacy/action alerts, promotion of programs and events through Marketing Cloud and in the community. Provide support in creating and posting digital media content, including but not limited to: Regional social media accounts, web pages, e-newsletters, and other platforms as needed. 
  • Maintain and update standard presentations, community lists and content, including presentations to the public, lay leadership engagement materials, and assist in coordinating staff speaking engagements. Manage technology needs for web-based events and programming.
  • Coordinate lay Board, Advisory Board and committee meetings; prepare materials for meetings, track and coordinate programming (both educational community and community at large), send correspondence, and administer billing, facilitator and related payments and related ordering of supplies and materials.
  • Help maintain recordkeeping and budgeting for regional programs; Administer billing for regional needs, including events, facilitator payments and related needs; order supplies and special items for events; working with various members of the regional team, coordinate the timely processing of check requests, contracts, donation transmittals and other administrative needs.
  • Maintain Regional databases and contact lists to ensure that they are up to date and accurate. Assist with maintenance and accuracy of Regional information in National databases (SalesForce etc.)
  • Serve as office administrator: ordering supplies, maintaining systems and space, ensuring security, welcoming visitors
  • Other job tasks as may be required.

Secondary:

  • Collaborate with Regional Office Staff to provide support for special events and projects as needed. 
  • May serve as a point of communication for external contacts and stakeholders. 
  • Collaborate with Development Assistant and Regional Coordinator on efficiencies and coverage.

Qualifications

  • An understanding of the work and mission of the ADL. 
  • Strong interpersonal and administrative skills. 
  • Proficient in Microsoft Office Suite, including PowerPoint, Word, Excel and Outlook.
  • Social media proficiency.
  • Saleforce and Marketing Cloud experience is a plus.
  • Strong computer skills (including Word, Excel, and PowerPoint), analytical and interpersonal skills. 
  • Demonstrated ability to prioritize and multi-task to complete projects on deadline. 
  • Exceptional attention to detail. 
  • Familiarity with social media best practices and platforms including Twitter and Facebook. 
  • Strong customer service and communication skills. 
  • Strong team player.

Work Experience:

  • One to two years of administrative and/or program support, preferably in the not-for-profit field, or equivalent volunteer experience through collegiate leadership.

Education:

  • Bachelor’s degree or equivalent experience required.

Work Environment: 

  • ADL COVID-19 Protocol (updated periodically): ADL is adhering to public health guidance regarding COVID-19. ADL is a hybrid environment; this role may require 3 days in the office. 

Compensation: 

  • This position has a salary range of $45,000 to $54,000. This salary range is reflective of a position based in Boston, MA. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
