SUMMARY
Provide support to the Director of Human Resources and General Manager to ensure timely and efficient application of hotel & human resources processes.
CORE FOCUS & ESSENTIAL RESPONSIBILITIES
Qualified candidates must be able to satisfactorily complete the following responsibilities. Other duties may be assigned.
Schedule/Coordinate internal meetings, orientations, interviews for the General Manager and human resources.
Conduct open castings as established for the hotel.
Maintain complete employee files and ensure each contains required paperwork. Conduct audits as needed.
Oversee inventory of all forms and materials, including pre-employment, new hire, onboarding, and coaching & counseling forms, and employment separation forms.
Conduct new hire paperwork and assist in the onboarding of new employees in HRIS system.
Prepare orientation packets and sign in sheets for orientation.
Conduct interviews and orientations as requested.
Enter background check information into system & call references for applicants.
Maintain full and accurate contact information in the AGI Contact List for respective property.
Manage benefits eligibility each month. Sends out letter notifying eligible employees to sign up for insurance.
Maintain accurate online job postings on Ace Hotel and other recruitment websites.
Oversee back-of-house bulletin boards; ensure all information posted is current and accurate.
Collect all Personnel Action Forms and submit for approval.
File all documents pertaining to the individual employee i.e. PTO Requests, corrective action, performance reviews, Not At Work forms, etc.
Organize employee relations events with the Director of Human Resources.
Create list of employee birthdays each month and send out birthday cards to all employees.
Create list of yearly anniversaries each month and send out an anniversary card to employees who have reached a year of employment.
Coordinate monthly staff meal calendar with culinary team 19. Work with Atelier staff to process all appropriate Goldy requests.
Oversee office supplies and place orders as needed.
Coordinate hotel gift certificate programs.
SUPPORTING FUNCTIONS
In addition to the core focus & responsibilities, the candidate is expected to complete the following duties:
1. Represent the Director of HR in appropriate meetings (lead staff, department, etc.) in his/her absence.

Maintain complete knowledge of all hotel services/features and hours of operation.

Ability to comply with physical demands as outlined below.
Knowledge and understanding of Atelier & Ace Culture & initiatives
Technologically sound with Microsoft Office applications.
Ability to compute basic mathematical calculations.
REQUIRED EDUCATION and/or EXPERIENCE
High school diploma is required. College degree in hospitality management, business administration, human resources management or similar is preferred. Previous experience working in an HR department or as a department administrator is preferred.

Ability to clearly communicate in verbal and written English (additional foreign languages are encouraged and preferred).

Ability to address and solve problems involving guest and operational issues.
Ability to compute basic mathematical calculations.
