Key Responsibilities and Accountabilities: The Grants Coordinator is primarily responsible for the preparation and payment of patient care costs and preparing monthly grant billings at the direction of the Grants Manager. Preparation for payment includes coding the expense to the correct general ledger number and grant code, reviewing supporting documentation to ensure the accuracy of the invoice/ patient care fund, checking to ensure the invoice/ patient care fund has not previously been paid and entering the expense into the accounting system. Preparing grant billing includes, compiling all components required to be submitted with the invoice and reviewing expenses for accuracy and allow-ability.

  • Prepare Patient Care Fund weekly report and Cast weekly report
  • Prepare Patient Care Fund checks from the approved CAST or Salesforce requests.
  • Code invoices/patient care funds to the appropriate general ledger number, and grant code taking into consideration the allow-ability of the expense under grant accounting principles.
  • Create and maintain vendor accounts
  • Preparation of grant billings, prepare monthly reconciliations of all grant billings to general ledger and grantor records along with generate invoices at the scheduled time each month to all grantors.
  • Pull backup documentation to support grant billings, match invoices to appropriate approved documentation and receipt records to ensure the expense was authorized and incurred.
  • Maintain accurate records of all billings
  • Assist with all inquiries regarding billing and payment status from all grantors and staff in a timely manner
  • Assist with the preparation of grant budgets
  • Create and maintain grant budget to actuals
  • Assist program directors with budgeting questions
  • Maintain filing for accounting documentation, grants and contracts
  • Review travel reports submitted by staff using the state approved travel documents and enter JE's as needed.
  • Assist with monthly recurring entries and prepare JE's as needed
  • Enter cash receipts unitizing accounting software
  • Complete monthly bank reconciliations
  • Assist membership billing department as needed.
  • Assist with front office coverage as needed
  • Assist with Audit preparation and auditors' inquiries
  • Abide by all HIPAA requirements
  • Gain a clear and basic knowledge of Access to Healthcare Network Services
  • Gain a basic and clear working knowledge of the Mitel phone system
  • Gain a basic and clear working knowledge of Salesforce
  • Ability to be both compassionate and professional while serving our population and staff
  • Must attend staff meetings
  • Ability to adapt to changing work environment and duties
  • Other duties as assigned

QUALIFICATIONS

  • Accounting degree or certificate preferred
  • Minimum two years bookkeeping experience
  • Must have five years' experience and skilled in the use of software programs such as MS Word, Excel and Internet Explorer.
  • Accounting Seed accounting software experience preferred
  • Excellent organizational skills (oral and written), be attentive to details, and have the ability to multi-task and work under pressure.
  • Excellent customer service skills
  • Ability to work from home if needed with adequate internet and a private space
  • Be able to sit at a computer for 6 - 8 hours per day
  • Be able to withstand hand/wrist deviation and repetition
  • Must be able to lift, carry up to 20 pounds with a fair consistency
  • Flexibility; Each department selects the hours of work schedule for the department staff based on the department's needs. This schedule may change at any time according to the department's needs.
  • Required to pass a background check through the State of Nevada

Work environment

The noise level in the work environment is usually moderate and the employee usually works in a climate-controlled office environment

In Office: Monday, Thursday, Friday 8:00am - 5:00pm

Work from Home: Tuesday, Wednesday 8:00am - 5:00pm
