Job Location: Dual Location - San Jose, CA
Salary Range: $80,000.00 - $102,000.00 Salary/year

Description

Job Purpose

The Clinic Manager oversees the daily and operational functions for the non-clinical aspects of the health center and dental program sites. The position is responsible for direct supervision of the front office and call center staff, ensuring efficient workflows, high patient satisfaction, and staff productivity. Performs hands-on front office duties as needed.

Duties and Responsibilities

  • Oversee front office services. Supervise, evaluate, and provide performance feedback to front office and call center staff.
  • Develop, monitor, and improve front office and call center workflows to ensure efficient use of staff time and excellent customer service.
  • Monitor patient registration/ check-in times and identify potential inefficiencies. Collaborate with all departments within AACI to implement solutions.
  • Coordinate staff schedules and ensure adequate coverage.
  • Participate in the hiring, onboarding, and performance evaluation of direct reports.
  • Interact with patients to understand their individual needs, appointment management, and ensure patient-centered care is provided.
  • Collaborate with all AACI departments and service lines to identify and resolve operational problems.
  • Coordinate regularly scheduled clinic meetings with all departments within AACI.
  • Assist with maintaining compliance with various accrediting bodies and government agencies such as HRSA, CMS, CDPH, State Programs, and health plans.
  • Provide and ensure continuing training/education for staff’s compliance and professional development.
  • Participate in quality assurance and improvement processes and attend QI/QA committee meetings as needed.
  • Monitor and report safety hazards, facility needs and recommend improvements.
  • Review weekly operational reports regarding productivity, no show and cancellation percentages, 3rd next available appointments, patient cycle times, payer mix and patient age trends.
  • Promote a culture of risk-managed, patient-centered, values-based, and continually improving practices with a commitment to quality at both clinical and dental sites.
  • Prepare Health Centers’ (Clinic and Dental) audits according to Agency protocols and guidelines.
  • Identify incidents , sentinel events, patient complaints and grievances and report these according to the established protocols.
  • Work with the Quality Manager to ensure patient screenings, follow-ups, education, and referrals are done according to HRSA policies and protocols.
  • Complete other related duties and projects as assigned.

Qualifications

Education & Experience

  • Bachelor’s degree in a related area or equivalent level of education and experience.

  • Minimum of four years of healthcare management experience; preferably practice management or healthcare operations.

Knowledge, Skills, & Abilities

  • Working knowledge of community health centers or comparable outpatient clinic operations. Good understanding of HRSA and FQHC processes and operations required.

  • High level analytic skills and understanding of QI process and compliance.

  • High level project management and practice transformation skills.

  • Knowledge of applicable federal and state laws and regulations related to the healthcare industry such as OSHA and HIPAA guidelines.

  • Proficient computer skills including medical practice management systems and Microsoft Office.

  • Ability to communicate well with people of diverse cultural professional and experiential backgrounds.

  • Ability to establish and maintain effective work relationships as part of a multi-disciplinary team.

  • Working knowledge of EPIC (preferred).

  • Mandarin or Spanish speaking is a plus.

Working Conditions

The job is performed in an interior office inside a standard health clinic setting which has no adverse environmental conditions expected. Occasional evening and weekend work is required. Extensive interaction with the public may be required.
