A & M Industrial Inc is Hiring a Part Time HR Administrative Assistant Near Rahway, NJ

Description

Associate will provide support company-wide to enhance Human Resources and office Administration. They will act as the first point of contact for HR /office related queries from employees and external partners.

Assist in efficient consultation with other departments and oversee payroll, onboarding, and other operational processes within the department. Their main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides) and updating internal databases. Has experience with HR, office Admin procedures, and can juggle various administrative tasks in a timely manner.

(Part Time: 20 - 25 hours per week)

Essential Duties and Responsibilities: 

· Update internal databases (e.g. record sick or maternity leave)

· Prepare HR documents, like employment contracts and new hire guides

· Liaise with external partners, like insurance vendors, and ensure legal compliance

· Manage HR calendar, includes scheduling and maintenance, travel, preparing meeting rooms, etc.

· Review and submit invoices to accounts payable for regulation

· Administrative and compliance duties such as managing employee files and supporting documentation to ensure accurate and complete employee records

· Manage emails, letters, packages, phone calls and other forms of correspondence

· Support bookkeeping and budgeting procedures for the company

· Support recruiting, onboarding and offboarding efforts.

Requirements

 Qualifications:

· Associates or bachelor’s in human resources/ Business Administration or relevant field

· Proven work experience as an HR Administrator, HR Administrative Assistant, or relevant role

· Experience with Payroll and HR software 

· Must have high-level knowledge of Microsoft Outlook, Excel and Word

· Knowledge of labor laws

· Ability to conduct screening interviews

· Excellent organizational skills, with an ability to prioritize important projects

· Ability to work independently, takes initiative

· Strong phone, email and in-person communication skills

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, document scanners, filing cabinets and fax machines. This is an in-person position. 

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is a largely sedentary role; however some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Individuals may need to sit or stand as needed. This position may require walking primarily on a level surface for periods of time as well as reaching above shoulder heights or below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques are required. This position may occasionally lift up to 25 pounds for files and computer printouts.
