To learn more, please check us out at www.hello9dot.com **This is a primarily REMOTE role with 20 in-person days annually at our corporate office in Pasadena, CA for company events and professional development** General Summary: The Leave of Absence (LOA) Specialist coordinates employee and participant leave of absence, accommodation and worker’s compensation needs. The LOA Specialist supports day-to-day aspects of our LOA program. This entails communicating with employees requesting LOA, tracking LOAs, coordinating workplace accommodations, and updating HR Business Partners, and appropriate managers regarding employees’ LOA status; and ensure all applicable forms are collected, recorded and filed on time. Essential Functions include, but are not limited to the following: Serve as the primary point of contact for phone, emails, and mail communications with employees regarding all leaves of absence questions/requests and related processes. Interprets and administers leave programs and policies in accordance with the applicable federal and state employment laws. Prepares, sends, and tracks all LOA paperwork required in compliance with state and federal deadlines. Manage HRIS leave functions and processes to ensure timely and accurate reporting of data in our HRIS System (Workday). Process LOA status and coordination of pay through HRIS and electronic timekeeping system by working closely with the organization's payroll department. Facilitating the disability management process for ill and injured employees related to leave and workplace accommodations under the Family Medical Leave Act, the California Family Rights Act, the Americans with Disabilities Act, the Fair Employment and Housing Act, and workers compensation laws. Manage all invoicing processes and reconcile received payments for all benefit related contributions and premium payments for employees on leave. Responsible for completing applicable state disability and/or paid family leave claims received Conduct system audits of all LOA processes, forms, signatures, approvals, completions, and payroll deductions. Stay compliant with state leave laws, FMLA, ADAAA, HIPAA, WC, and regulatory federal and state laws regarding leave of absence. Regularly attends industry seminars and training classes to stay current with changes and best practices Develop standard operating procedures to support workflow and streamline processes by utilizing best practices for all leave of absence administration. Identifies and immediately escalates potential opportunities for risk/exposure. Make recommendations for external medical evaluations and work with external vendors to find appropriate doctors and type of assessment depending on the circumstances. Maintain the privacy and confidentiality of all protected health information in accordance with established policies, procedures and practices, and in compliance with applicable Federal and State regulations. Manage all leave of absence administration projects. Knowledge, Skills and Abilities Required: Experience managing leave cases (FMLA, ADA, CFRA, etc). Understanding of state leave laws, FMLA, ADAA, HIPAA, and Worker’s Compensation laws and how they impact employer leave of absences. Strong analytical and problem solving skills. Ability to identify basic problems and procedural irregularities, collect data, establish facts and draw valid conclusions. Strong communication skills and ability to make recommendations to management. Education and Experience: Minimum of 4 years of related experience in Leave of Absence administration.
